Key Accountabilities and Responsibilities:

  • To undertake administrative processes within the Finance and Mailroom you must accurately and efficiently provide an administrative service to the contract, producing and maintaining records for the financial and mail services offered.
  • You will take full responsibility for handling the prisoner finances, ensuring that their accounts are accurate, up to date and funds are available and managed in line with local and national policies.
  • You will maintain a daily cash count ensuring all incoming and outgoing cash is accounted for and recorded accordingly, ensuring that you can provide the Head of Financial Services and other relevant stakeholders with an accurate monthly report that will used for the contracts financial reporting.
  • Update daily, prisoner's information into the PNOMIS/CMS systems with relevant detailed information including transfers of monies to and from other establishments.
  • As a Finance and Mail Room Administrator you will be responsible for answering the prison switchboard, you will need to ascertain the nature of the call and determine the relevant extension to direct the call to ensuring that there is minimum delays. If any messages need to be passed on you will need to ensure that you take the details of the call ready to communicate to the person in question. All incoming calls must be recorded and the internal telephone directory must be kept up to date.
  • Maintain a comprehensive knowledge of Security responsibilities in line with local/ national policies by taking personal and professional accountability for keeping up to date in areas of responsibility and undertake appropriate training and development.
  • Contribute to managing the security of the Prison in accordance with relevant policies and procedures. Remain conversant and complicit with in Local Security Strategy (LSS).
  • Reinforce your knowledge of Prison Rules, PSI/PSO's and Prison publications so that you are able respond to prisoner queries, requests and complaints.
  • Contribute to successful external visits within remit of responsibility for example His Majesty's Inspectorate of Prisons (HMIP).
  • Build and maintain professional working relationships with all relevant internal and external stakeholders.
  • Work in other functional areas as required and within your training and experience and perform any other duties as may reasonably be required.
  • Report all acts of wrong doing through the Professional Standards procedure or by using the Whistle Blowing procedure outlined in the Serco Management System.
  • Work in accordance with all statutory, legislative, Company and departmental requirements including but not limited to Health and Safety and Security policies and procedures.
  • To promote equality, diversity and good relations.

Essential Qualifications:
