Job Title: Conference Events Operations Manager

Responsible to: Head of Operations

Directed by the Head of Operations, you will manage events and the day-to-day operations at The

Mermaid London, ensuring the highest levels of service and exceeding customer expectations.

The Conference Events Operations Manager is a key member of the management team with duty management

responsibility for the building and line management of agency staff.

To deputise for the Head of Operations.

SPECIFIC DUTIES:

1. Events and Operational Management

  • Duty management of the building, ensuring compliance with health and safety requirements.
  • Recruitment, training and management.
  • Ordering, management and stock control. Responsibility for money transactions and accurate recording of alcohol sales.
  • Co-ordinate all designated events on the day and liaise with organisers, delegates, suppliers and internal departments e.g. sales, catering, security, audio-visual and cleaners to ensure that clients' requirements are delivered and all contractual obligations are met.
  • In the absence of external technical expertise, you will provide basic assistance in the operation of audio-visual equipment that has been supplied by The Mermaid London.
  • Ensure that event consumption records are correct so that final invoices are prepared in a timely and accurate manner.
  • Maintain accurate records of daily and weekly health and safety checklists.
  • Accompany the sales team on show rounds and tastings to ascertain the logistics of an event and advise sales staff and the client of the implications or alternatives that may be available to ensure a successful event.
  • To be a proactive member of The Mermaid London Operations Team and to provide suggestions for changes in service strategy and product development.
  • Manage and undertake projects as required by the Head of Operations and to work with other senior members of The Mermaid London team in carrying out such projects, research or initiatives as requested which are broadly in line with your key responsibilities.

2. Premises and Equipment

  • Notify the Head of Operations of all repair and maintenance issues.
  • Responsible for securing the building and the safe handling and storage of all equipment used in the running of The Mermaid London.
  • Ensure that the venue is set-up according to the agreed specifications for show round presentations and/or client events.

3. Health and Safety

  • To ensure that the venue complies with all relevant health and safety legislation within your areas of responsibility and within your scope of training.

4. Other

  • Job descriptions cannot be exhaustive and the post-holder may be required to undertake other duties which are broadly in line with the above key responsibilities.

THE IDEAL CANDIDATE WILL HAVE THE FOLLOWING QUALITIES:

The ability to:

  • Manage and motivate staff.
  • Work as part of a close-knit management team.
  • A minimum of two years experience or qualifications in the duty management of conference events, audio-visual and catering.
  • Work quickly and accurately with attention to detail.
  • Ability to prioritise and make decisions under pressure.
  • Work without supervision using discretion and initiative.
  • Trouble-shoot and solve problems.
  • A flexible approach to working hours is essential. The position involves evenings and weekend work, duty management and on-call responsibility.
