Purpose


To provide support to the People & Culture department in line with the overall strategy ensuring the delivery of best practice day to day support, that is compliant with current legal and professional standards and Company requirements.

To provide administrative support to the People & Culture department, supporting the team as appropriate.

Note:

In addition to these functions employees are required to carry out such other duties as may reasonably be required.


Nature and Scope


The People & Culture Coordinator is part of the People & Culture department and reports to the People & Culture Manager.

The role requires the People & Culture Coordinator to develop effective relationships with employees at all levels.


The role will require the People & Culture Coordinator to spend most of their time at the Orme Street site.

However, business meetings, off site training and other visits will form part of the role.

The specific demands of the role are described through the principal accountabilities outlined in this role description.

The expected key competencies and key performance indicators for the effective execution of the role are also outlined in this document.


Principal Accountabilities

People & Culture - Main Accountabilities

  • Maintenance of databases and employee records.
  • To assist with the administration and coordination of recruitment activities.
  • Updating spreadsheets and trackers as appropriate.
  • Employee welfare and the promotion of the family friendly/flexible working policies.
  • To assist with the coordination of arrangements for the review of occupational health reports with employees and management as appropriate following appointments with the Company's occupational health providers for the purposes of sickness absence, management and/or medical referrals, H&S requirements.
  • Make arrangements for employees who are retiring.
  • To take minutes at meetings as appropriate.
  • To provide support to the People & Culture team as required.
  • To assist with the coordination of arrangements for the Company's internal events (e.g. Christmas, Open Days, etc.).
  • Support with the administration and coordination or the Giving Something Back Community Fund.
  • Process and produce all documentation for starters, changes, and leavers.
  • Assist with the delivery of all induction training programmes for employees.
  • Updating Company intranet, as appropriate.
  • Provide welfare support to employees and escalating to People & Culture Officer, as appropriate
  • Coordinate welfare activities including occupational health management referrals, welfare meetings and occupational health.
  • Provide advice on policies and procedures to management.
