Job summary

An exciting opportunity has arisen to join The Walton Centre Safeguarding Team as the Safeguarding Administrator. We are looking for an enthusiastic, proactive and conscientious individual with excellent administrative and organisational skills. The post holder will be a key point of contact and will liaise with colleagues at all levels and as such, excellent written and oral communication skills are essential. The post holder will work with the minimum of supervision providing comprehensive secretarial and administrative support in an organised, efficient and effective manner.

The post holder will be based at The Walton Centre NHS Hospital Trust.

Main duties of the job

It is essential that the post holder uses initiative compatible to the role and it is vital that confidentiality is maintained at all times.

This post demands a high level of responsibility within the remit of patient care. Accurate record keeping and confidentiality are paramount in this position.

Key responsibilities:

To ensure a comprehensive administration and secretarial service for the Safeguarding Team, maintaining quality standards and confidentiality at all times.

Book calendar appointments as required within the outlook system.

Organisation of urgent appointments and meetings as requested by Safeguarding Matron/ Safeguarding Specialist Nurse.

Maintain the DoLs database and DoLS administration arrangements.

Book calendar appointments as required within the outlook system.

Organisation of urgent appointments and meetings as requested by Safeguarding Matron/ Safeguarding Specialist Nurse.

Maintain the DoLs database and DoLS administration arrangements.

Maintain other safeguarding databases.

Maintain the safeguarding email inbox.

Dealing with day to day queries/problems/signposting by telephone or face to face regarding safeguarding.

Responsible for taking and transcribing notes of meetings and responsible for distribution of paper work in a timely manner, organising a venue, refreshments and equipment as required.

Ensuring effective management of any post received in the department.

Supporting the Safeguarding Matron and Safeguarding Specialist Nurse with all administration work for safeguarding.

Ensuring training and development training lists are kept up to date and support the communication with the L& D dept.

Support the Safeguarding Matron with the agenda and papers for the Safeguarding Group

Ensure that all DOLS applications are monitored to ensure that documentation is accurate and in line with legislation.

Need to have an awareness of how to manage emotionally sensitive information.

Person Specification

Qualifications

Essential

Computer literate Good standard of numeracy and literacy 5 GCSE passes including English Language/Literature or equivalent.

Desirable

ECDL Audio typing skills.

Experience

Essential

Previous secretarial/office experience including working with computers. Able to use personal initiative when prioritising workloads. Good IT skills with Word, Excel, Outlook. Ability to maintain accurate patient information. Ability to adhere to the Data Protection Act and national/ local guidelines concerning patient confidentiality. Knowledge and experience of medical terminology. Self-motivated and able to work with limited supervision. Ability to communicate effectively with patients, relatives, associated professional staff and management. Ability to work as part of a team. Keyboard skills accurate, fast typist Knowledge of Microsoft office. Willingness to undertake further training as required. Able to comply with the Trust no-smoking policy Ability to withstand pressure of work Able to work flexibly at times to achieve the hours and duties required within the post Ability to manage patient sensitive information.

Desirable

Experience in NHS or customer service organization. Knowledge of hospital PAS system, EP2, Datix systems, or other NHS systems. Experience of safeguarding administration work.
