The Order Fulfilment Co-Ordinator will take responsibility for fulfilling customer requirements on standard and aftermarket orders, as well as ensuring on-time delivery of key orders.

Key to this role will be the ability to communicate progress on orders to the customers and other internal/external stakeholders in collaboration with the sales and operations team.

This role is key to driving continual improvement processes to allow smooth transition from order placement to delivery, working closely with all the involved departments, to make sure on time delivery improvements and customer satisfaction.

DUTIES & RESPONSIBILITIES:

  • Track / expedite key orders through the operations and supply-chain to ensure that delivery commitments are met or exceeded.
  • Work closely with purchasing to ensure any specific job requirements are ordered in line with project / installation date requirements
  • Point of contact for assigned standard / aftermarket orders that are going through the system and provide key stake holders with regular updates in conjunction with the existing order entry team
  • Ensuring documents are sent to customers once made available via engineering or other departments and any documents that are returned are booked in and passed to relevant departments to approve
  • Keep a record of all jobs out for approval and ensuring the customer is aware when these documents are late in returning
  • Collating final documentation packs that are required to accompany standard orders
  • Coordinate the setting up of bank guarantees and letters of credit, by ensuring all departments comments are consolidated before submission to the client
  • Monitoring of live order process and systems to ensure order is flowing through the business and providing management reports / updated KPI's

QUALIFICATIONS:

  • GCSE (or equivalent) grade C/4 or above in English and Mathematics (essential)

EXPERIENCE:

  • Experience in a similar position (essential)
  • Ability to create and track individual and team metrics (essential)

SKILLS, TRAINING OR SPECIAL KNOWLEDGE:

  • Computer literacy (including good command of Microsoft Office; Excel, Word, Outlook) (essential)
  • Working knowledge of Customer Relationship Management (CRM) systems (essential)
