Description
The main responsibilities for the Management Assistant role are:
- Welcome visitors to the office and take switchboard calls
- Maintain office supplies
- Respond to customer correspondence and enquiries
- Support Directors in their roles as and when required
- Provide weekly reports for Directors
- Coordinate diary entries for regular meetings (Board, Sub-Board, Regional Updates)
- Organise legal documents to be reviewed by Directors and project team
- Assist the Group Office Manager in ensuring all HR and Health and Safety records are kept up-to-date
- Assist the Group Office Manager with HR and H&S functions
- Assist the Group Office Manager in ensuring full compliance of all QMS policies and procedures
- Assist in implementing and maintaining the QMS procedures and office administrative systems
- Assist with maintaining contact register
- Assist with approving employee expenses
- When required, to assist with creating invoices
- Assist with marketing activities which includes digital platforms
- Assist with organising events including hotel bookings and travel
Profile
The successfulm candidate for the Management Assistant role is someone with the following:
Skills:
- Excellent written and verbal communication skills
- Ability to communicate effectively and politely
- Fast and accurate typing skills, high level of proficiency in Microsoft packages
- Ability to prioritise workload
- Ability to work effectively with other staff and as part of a team
- Ability to work on own initiative
- Previous office-based experience is essential
