Role Purpose

The Academic Registrar (AR) is responsible for designing and delivering an institution-wide student and academic administration that enables all students to achieve at their highest level. The Academic Registrar is the institute’s senior responsible officer for advice and guidance on all matters of student administration (including systems and processes), student misconduct and complaints and has oversight of the Institute’s relationships with some regulators and professional bodies, including the OfS (HESA, OIA), QAA, and Student Finance England. The Academic Registrar has a day-to-day close working relationship with the other Senior Colleagues and works in partnership with other Heads of Department and the Executive to ensure high-quality service-delivery, coherence and compliance across the Institute. 

Role and Responsibilities

  • Develop, implement and resource the delivery of the RAS, including student records; complaints and misconduct; timetabling of teaching and assessment; enrolment, adjustments, progression, attainment and graduation; design and application of cross-institutional policy, processes and systems.
  • Guide the use and development of Institutes Student Information Systems working in partnership with the technical system owners. 
  • Oversee the University’s relationships in combination with the Head of Regulation, with the OfS, QAA, OIAHE and Student Finance England, as well as professional regulatory bodies, working in partnership with Heads of Department to ensure alignment, compliance and benefit realisation of these relationships.
  • Lead on all user-related aspects of student records systems and processes, ensuring integrity of data and information, tactical use of student data to support Institutional performance (HESA/HESES), and conformity with all legal requirements and University policies relating to GDPR, freedom of information and compliance matters.
  • Oversee UKVI arrangements for students.
  • Work in close partnership with other Senior colleagues to deliver an integrated service across structural boundaries.
  • Build and maintain excellent relations with the Student Association, ensuring constructive and participative engagement and effective student voice.
  • Lead and manage all people and activities within the department ensuring high performance, value for money, effective risk management and continuous improvement.
  • Keep abreast with HE sector best practice (nationally, in the EU and internationally), including relevant legislation, and implement it in the Institute as appropriate.
  • Ensure that the Institute complies with the relevant legislation, regulations and ordinances regarding all its matters of academic administration, processes and procedures.
  • Promote and develop equality, diversity and inclusion, creating a culture that embraces and enables inclusivity, change and innovation.
  • Represent the Institute externally, raising the profile and reputation of the organisation and influencing regional and national agendas on behalf of Metanoia.
  • Take a leadership role on other institutional issues and projects assigned by the Director of Education.
  • Undertake any additional duties as reasonably specified by the Director of Education.
  • In addition, they provide professional leadership and support to the Quality Support Service (under the Director of Education) and work directly with the Director of Education and other Senior Colleagues to realise the Education Strategy.
  • The direct responsibility for leading and managing the University’s Registry Services to ensure an organisation-wide system of effective academic administration from enrolment through to graduation.
  • The AR ensure cross-Institute for academic administrative policies, procedures and systems, student data and play a key role in effective integration of provision and services.  
  • Participates in the institutional management of the organisation and plays a leadership role that inspires staff and students; promotes learning and the enhancement of the Institutes stature and reputation; and exemplifies the Institutes culture and values. 

Essential Skills and Experience

  • Relevant Master's level qualification or equivalent professional experience.
  • Significant experience in a senior leadership role, managing cross-organisation administrative functions.
  • Thorough knowledge of Higher Education in the UK and significant experience of working in one or more areas of the portfolio.
  • Significant experience in a complex organisation, ideally in a HE setting, including experience of strategic planning and leading and managing people and projects.
  • Strong relationship management skills, including communication, engagement, facilitation and mediation skills and matrix management delivery.
  • Thorough knowledge of internal and external regulation and compliance and best practice relating to academic administration, student services and data processing.
  • A track record of successfully initiating and implementing significant change in a complex organisation.
  • A strong commitment and demonstrable ability to establish positive, collaborative relationships with others to achieve strategic goals and an ability to lead and work effectively in teams.
  • Requires strong values-based leadership to engage with all stakeholders and to translate academic strategy and policy into effective delivery, creating and maintaining a comprehensive and agile administrative system. 
  • A strong track record of leadership contribution to organisational success through creative and innovative approaches.
  • Excellent planning skills, allied to well-developed analytical and problem-solving skills and a track record of delivering on plans to achieve targeted goals.
  • The ability to represent the Institute through engaging effectively with and influencing positively external bodies and policy agendas.
