Reporting to the chair of Trustees and the management committee, you will be responsible for:

  • Customer service/administration : Welcome all visitors and contractors and deal with any issues promptly. Respond to enquiries raised by telephone, email and in person. Use of the Avalon booking system to record and manage all bookings. Raise all invoices and pursue outstanding payments where appropriate. Collate customer feedback and present to management committee on a regular basis.
  • Building maintenance : regular inspections of buildings, identifying and resolving any issues calling in relevant trades where needed; identifying any refurbishment requirements and advising the management committee.
  • Building cleanliness : check buildings are clean and ready for occupation including some cleaning responsibilities.Work with current cleaning contractors.
  • Grounds Management : inspect grounds weekly and produce a schedule of work; agree work priorities with handyman/groundsman; develop and operate a wood and green waste policy; carry out some tasks as appropriate.
  • Staff management : responsibility for the line management of 3 members of staff.
  • Work with volunteers : lead on regular volunteer working days/corporate days, attend regular management meetings and report to the Management Committee.
  • Safety lead : carry out regular health and safety checks, such as fire alarm testing and legionella, pest control and deal with any issues that arise as a result. Regularly review risk assessments and amend accordingly. Maintain first aid kits. Record any accidents/incidents that occur on site for either staff, volunteers, customers or contractors.

In addition to the work of the manager, you will also deliver the caretaker role:

  • Carry out a perimeter and external buildings check every evening and log the date and time in a register.Ensure no intruders are present.Check that all buildings are locked and secured, and gates are closed.
  • Deal with any fire alarms at any time whilst on site.
  • Challenge any unexpected visitors or call the emergency services as necessary.
