Location: Houlton, Rugby (4 days per week) and Middlebeck, Newark (1 day per week)
Hours: 9:00am – 5:30pm, Monday to Friday (Newark office day preferred to be Wednesday)

Are you highly organised, enthusiastic, and ready for a hands-on role that keeps you at the heart of our dynamic teams? We are looking for an Office & Community Facilities Coordinator to join us at our Houlton and Middlebeck sites.
What You'll Do:
Office Coordination & Administration:
- Oversee the smooth operation of our offices in Houlton and Middlebeck.
- Implement efficient office systems and processes.
- Provide regular office cover and coordinate shared services.
- Manage an Office Assistant to support office and community facilities.
- Ensure compliance with health and safety policies.
- Liaise with the Estates Team for tenant and facilities issues.
- Participate in the U&C Admin Group, sharing ideas and best practices.
- Assist with VIP visits, including logistics, presentations, and catering.
- Lead office inductions for new starters and visiting colleagues.
- Offer PA support and diary management for the Regional Director.
- Assist with scheduling, document preparation, and team support tasks.
Community Facilities Coordination:
- Engage with the local community and manage facility correspondence.
- Operate the facility booking system and maintain the schedule.
- Coordinate cleaning and maintenance for the facilities.
- Log correspondence and report on facility usage trends.
- Provide facility inductions and assist with risk assessments for users.
What We’re Looking For:
- Experience in an administrative, office assistant/management, or PA role.
- Exceptional organizational skills and ability to handle multiple tasks.
- Proficiency with Microsoft Office and professional communication.
- Strong interpersonal skills and enthusiasm for team collaboration.
- Flexibility and adaptability to changing needs and priorities.
- Ability to travel to the Newark office weekly and other sites as needed.
- First Aid qualification (or willingness to train).
About the Site:
Our Houlton office, located in the vibrant Dollman Farm courtyard, is home to 23 team members and a hub for our local and London-based teams. The Houlton community is rapidly growing, with 1200 homes, schools, green spaces, and various amenities already in place.
Our Middlebeck project in Newark is equally exciting, with ongoing developments and a focus on community building. The office is situated above Gannets Café, fostering a collaborative and lively work environment.
