United Kingdom Planit Full time €35,000 - €40,000

SENIOR PLANIT PLANNER – JOB DESCRIPTION

£35K/yr - £40K/yr office centered hybrid model

Application Deadline: 13 September 2024

Location: Manchester City Centre

Experience required: 3 years+

POSITION OVERVIEW

At Planit, we combine the expertise and capabilities of a big agency with the drive and personalised service of a boutique.

As a Senior Planit Planner, you'll lead the delivery of exceptional events for key client accounts, working closely with your project teams and the wider Planit team of associates. Our mission is to challenge the status quo of the traditional event agency model, delivering connected, inclusive, and transparent event experiences that truly align with business outcomes and audience needs.

With three dynamic channels – Planit Myself, Planit +, and Planit ForMe – your role is integral to providing our clients with the thinking and doing they need to design, drive, and deliver exceptional events and inclusive experiences. You’ll be hands-on in everything ensuring every event hits the mark.

Key Responsibilities:

Event Management

  • Collaborate with senior team members to effectively manage a diverse portfolio of events, ensuring they are connected to business outcomes and audience needs.
  • Partner with the Head of Events / Event Director to innovate, establish, and refine standards and procedures that challenge the traditional event model.
  • Engage with clients to define event objectives, gather detailed briefs, and craft tailored event solutions that prioritise inclusivity and wellbeing.
  • Develop and execute detailed project plans, ensuring every task is completed on time and milestones are met.
  • Utilise Planit’s vast network to source, communicate with, and manage event suppliers transparently, avoiding the typical 'murky markups' of the industry.
  • Lead the creation and distribution of comprehensive event briefing documents.
  • Ensure event health and safety, including the preparation of Risk Assessment Method Statements, Event Plans, and Emergency Procedures.
  • Oversee and coordinate all staff, subcontractors, and participants to ensure seamless event execution that reflects our commitment to diversity, equity, and inclusion.
  • Actively source and manage supplier relationships, providing clear briefs that align with both company and client goals.
  • Create and manage event budgets, negotiating with suppliers, venues, and subcontractors to secure top-notch services at fair and transparent prices.
  • Source and manage freelance Planit planners as required, ensuring flexibility in meeting specific client needs.
  • Collaborate with Directors, designers, and consultants to develop branding and marketing materials for events, ensuring they align with our values of inclusivity and excellence.
  • Work with clients to create engaging, compelling content that resonates with diverse audiences.
  • Book travel and accommodation at competitive rates when needed.
  • Handle financial administration, including payments, invoicing, and income collection, with a focus on transparency and fairness.
  • Manage work placement students, ensuring they gain valuable experience in an inclusive and supportive environment.
  • Ensure timely and efficient completion of all supplier responses, agreements, contracts, and correspondence.

Business Development

  • Support Business Development efforts to promote and market Planit, challenging the status quo of traditional event models.
  • Assist the Founder with new business pitches and development activities, highlighting our unique approach to inclusivity and transparency.
  • Contribute to Planit’s mission of delivering high-quality, inclusive events that connect with business outcomes.
  • Deliver proposals and pitches to clients that showcase our ability to provide exclusive events and inclusive experiences.
  • Follow up on prospects, sales leads, and event inquiries, maintaining accurate records and effective diary management.
  • Represent Planit at conferences and exhibitions, driving business development activities that align with our mission.

Team Management

  • Collaborate with the Founer to manage and mentor Event Executives & Event Managers, ensuring they uphold our commitment to inclusivity and client-centricity.
  • Lead by example, driving the events team to meet and exceed targets while challenging traditional industry norms.
  • Coach, train, and develop your team in the Planit way, ensuring they thrive in a supportive and inclusive environment.
  • Uphold and enhance the quality and standards of work across the events team, reflecting our commitment to inclusivity and excellence.
  • Drive excellent customer service standards, aligned with Planit’s values and ethos of personalised, boutique service.
  • Ensure staff are effectively trained on health and safety procedures, with a focus on wellbeing and inclusivity.
  • Oversee staffing schedules and task assignments to ensure smooth event delivery, providing the flexibility to meet specific client needs.
  • Brief your events team thoroughly, ensuring an even distribution of workload and clear understanding of our mission.
  • Mentor junior team members, helping them build their skills and nurture strong, inclusive client relationships.

Client Relationship Management

  • Work alongside the Founder to manage projects, create detailed project plans, and ensure they reflect our commitment to inclusivity and transparency.
  • Maintain ongoing client communication, providing timely updates and information that reflect our values.
  • Lead and participate in key meetings, representing Planit’s commitment to challenging traditional event models.
  • Conduct effective post-event evaluations to drive continuous improvement, ensuring every event is an opportunity to enhance inclusivity and connection.

Person Specification

Essential

  • Solution focussed mindset
  • Significant experience in event management, with a focus on delivering inclusive and connected experiences.
  • Proactive leader with the ability to drive and motivate a team in line with Planit’s values.
  • Proven experience in financial management, including transparent budgets and expenditure.
  • Skilled negotiator, with a commitment to fair and transparent dealings with subcontractors.
  • Ability to build and maintain strong working relationships with a diverse range of suppliers, subcontractors, and clients.
  • Demonstrated project management expertise, with a focus on inclusivity and connection.
  • Commercially focused with a creative flair for inclusive event solutions.
  • Meticulous attention to detail, with a commitment to excellence and transparency.
  • Strong forward planning abilities, with a knack for anticipating issues and devising immediate solutions.
  • Ownership mentality, taking responsibility for outcomes and challenging the status quo.
  • Excellent time management, capable of prioritising under tight deadlines.
  • Effective and confident delegator, with a focus on team development and inclusivity.
  • Strong written and verbal communication skills, with an emphasis on clear and inclusive language.
  • Proficient in IT, with a willingness to adapt to new technologies that enhance inclusivity.
  • Willingness to travel and flexibility with working hours.
  • Experience in event Health and Safety risk management, with a focus on wellbeing and inclusivity.
