Office Manager

HAIL Partners is working a boutique private equity firm based in the West End who are seeking an Office and Facilities Manager to run 2 offices in West End, London.
The ideal candidate will have experience managing Receptionists, managing office facilities and managing the office
Responsibilities:
- Serve as the primary point of contact for external vendors and service providers, including IT support and maintenance personnel.
- Manage office facilities, including coordinating repairs, maintenance, and renovations as needed.
- Serve as the primary point of contact for external vendors and service providers, including IT support, cleaning services, and maintenance personnel.
- Managing the receptionists in both offices.
- Coordinate with accounting personnel to ensure accurate and timely processing of payments and reimbursements.
- Facilitate onboarding processes for new hires and assist with HR-related inquiries as needed.
- Plan and coordinate company events, meetings, and conferences, including venue selection, catering arrangements, and logistics management.
- Leading and project management of an office move.
Requirements:
- Proven experience in office management or administrative roles, preferably within the financial services industry.
- Experience managing receptionists
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Demonstrated problem-solving abilities and attention to detail.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
- Knowledge of basic IT support skills is a plus.
This position is 4 days a week in the office.
