HAIL Partners is working a boutique private equity firm based in the West End who are seeking an Office and Facilities Manager to run 2 offices in West End, London.

The ideal candidate will have experience managing Receptionists, managing office facilities and managing the office

Responsibilities:

  • Serve as the primary point of contact for external vendors and service providers, including IT support and maintenance personnel.
  • Manage office facilities, including coordinating repairs, maintenance, and renovations as needed.
  • Serve as the primary point of contact for external vendors and service providers, including IT support, cleaning services, and maintenance personnel.
  • Managing the receptionists in both offices.
  • Coordinate with accounting personnel to ensure accurate and timely processing of payments and reimbursements.
  • Facilitate onboarding processes for new hires and assist with HR-related inquiries as needed.
  • Plan and coordinate company events, meetings, and conferences, including venue selection, catering arrangements, and logistics management.
  • Leading and project management of an office move.

Requirements:

  • Proven experience in office management or administrative roles, preferably within the financial services industry.
  • Experience managing receptionists
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Demonstrated problem-solving abilities and attention to detail.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Knowledge of basic IT support skills is a plus.

This position is 4 days a week in the office.
