Who we are 

Guild Gaming is a global gaming & esports business based in the heart of Shoreditch, East London. We are looking for a Team Operations Administrator to be based in London at our HQ. We generate creative products & services across the gaming sphere, as shown by our full-service production and creative agency Guild Studios, our events space at the Sky Guild Gaming Centre, and the success of our esports teams. 

Guild Esports have won 10 tournaments in FIFA, Rocket League, Valorant and Fortnite and WRC. We currently compete in EAFC, Fortnite, Street Fighter, Apex Legends, MLBB, PUBG Mobile and Sim Racing

The opportunity 

The Teams Operations Administrator will be responsible for managing and supporting the operational aspects of esports teams and players. This role ensures smooth execution of esports activities, maintaining organisational efficiency, compliance, and effective communication among teams, players and stakeholders. The ideal candidate will have excellent organisational and communication skills, thriving in a process driven environment.

What you’ll do

Ensure the team’s administrative requirements are met to a high standard, within deadlines, including:

  • Player welfare, performance needs and general support
  • Player/Team Finances/invoicing, incoming and outgoing.
  • Event and travel itineraries, bookings and schedules.
  • (When/if required) On-site logistics planning at esports competitions and events

Operational Support

  • Coordinate day-to-day operations of esports teams and players
  • Maintain schedules, monitor timelines, and ensure deadlines are met for all esports activities.
  • Manage registration processes for tournaments and oversee participant communication.

Administration

  • Maintain accurate records of team rosters, player eligibility, and tournament results.
  • Prepare reports, presentations, and summaries for stakeholders.
  • Oversee inventory and distribution of esports-related equipment and merchandise.
  • Ensure projects meet deadlines

Communication and Coordination

  • Serve as a point of contact for inquiries from teams, players, and external partners.
  • Coordinate with marketing, partnerships and social media teams to promote esports activities.

May require flexible and unsociable working hours and some travel, depending on the event calendar and team requirements.

Complete additional duties as may be required.

  • Legal right to work in the UK.
  • Bachelor’s degree in business administration, event management, sports management, or a related field (or equivalent experience) or;
  • Minimum of two years experience working in a sports or esports administrative role
  • Excellent organisational and time management skills, with the ability to work to tight deadlines in a fast-paced environment.
  • Excellent communication skills 
  • Be flexible and ready to apply your thinking to any brief.
  • Strong attention to detail.
  • A positive, enthusiastic attitude towards work.
  • Proactive, self-starter, willing learner and a team player.
  • Proven ability to effectively manage key working relationships.
  • An interest in gaming, traditional sports, entertainment and lifestyle brands is an asset.
