IT & SYSTEMS PROJECTS LEAD | FIXED TERM CONTRACT


POSITION SUMMARY


The IT & Systems Projects lead will play a pivotal role in managing the company’s IT infrastructure transformation to support the YOY growth of the business.


This person will be responsible for leading technology projects that align with business goals, optimising our operational workflows, and ensuring our infrastructure can support future growth including preparing & implementing a robust ERP system, ensuring seamless integration of eCommerce, finance, sales, marketing, warehouse and inventory management systems.


The ideal candidate will have solid project management experience in ERP implementation, systems integration, and IT infrastructure management within the distribution/omni-channel company.


MAIN ROLES & RESPONSIBILITIES


ERP IMPLEMENTATION & MANAGEMENT


  • Lead the full lifecycle of ERP implementation, from requirements gathering, vendor selection, system configuration, and customisation, to deployment and post-implementation support.
  • Ensure the ERP system integrates seamlessly with other business systems, such as eCommerce platforms, finance, and inventory management systems.
  • Develop and manage project plans, timelines, and budgets for the ERP project, coordinating cross-functional teams and third-party vendors.
  • Provide training and support to users to maximise the ERP system’s functionality.

 

IT INFRASTRUCTURE REVIEW


  • Review, and provide recommendations for the company’s IT infrastructure to ensure it meets the needs of a growing distribution company.
  • Oversee any key projects to ensure a stable network architecture, servers, data storage, backups, and cloud services to ensure high availability and security, in conjunction with the IT & Systems Manager. 
  • Ensure IT infrastructure supports future scalability, business continuity, and disaster recovery strategies.


SYSTEMS INTEGRATION


  • Lead efforts to integrate various business systems, ensuring data flows seamlessly across the ERP, eCommerce, financial, sales, marketing and inventory platforms.
  • Identify/Develop and implement API connections, custom scripts, and middleware to ensure real-time data exchange and system interoperability.
  • Collaborate with vendors and internal teams to troubleshoot and resolve integration issues.


FINANCIAL SYSTEMS MANAGEMENT


  • Ensure financial modules within the ERP are correctly configured to meet the company’s accounting and reporting needs.
  • Collaborate with the finance team to streamline processes for invoicing, payments, and financial reporting.
  • Ensure financial data integrity and assist in generating financial reports.


INVENTORY MANAGEMENT


  • Lead initiatives to optimise the company’s inventory management system, ensuring real-time tracking of stock levels, order fulfilment, and warehousing.
  • Collaborate with the operations team to design and implement workflows for inventory forecasting, replenishment, and stock control.
  • Ensure data accuracy and system reliability across all inventory-related modules.

 

 VENDOR MANAGEMENT

 

  • Manage relationships with third-party vendors, ensuring compliance with SLAs, budget constraints, and project timelines.
  • Act as the primary liaison between internal stakeholders (finance, operations, sales, etc.) and external IT service providers.


EXPERIENCE & SKILLS CRITERIA


  • ERP Implementation: Proven experience leading ERP implementation projects, preferably in a distribution company (e.g. Oracle, Microsoft Dynamics, NetSuite, etc.).
  • Systems Integration: Strong experience integrating disparate systems, including eCommerce, financial, CRM, and inventory management systems.
  • IT Infrastructure: Extensive experience managing and optimising IT infrastructure, including servers, networks, cloud services, and security protocols.
  • Project Management: Strong project management skills with experience managing cross-functional teams, third-party vendors, and technology budgets.
  • Ecommerce Experience: Hands-on experience integrating and managing eCommerce platforms, ensuring efficient order processing and inventory sync.
  • Finance and Inventory Systems: Strong understanding of financial systems and inventory management practices within the context of an ERP.
  • Leadership: Proven experience leading teams, with excellent interpersonal and communication skills.
  • Analytical and Problem-Solving Skills: Ability to troubleshoot complex technical issues and propose effective solutions.
  • Vendor Management: Experience managing relationships with software vendors, ensuring successful system implementations and ongoing support.


QUALIFICATIONS

  

  • Degree in Information Technology, Computer Science, etc.
  • PRINCE2, Agile or other project management certification preferred.
  • 5+ years of experience in IT project management, with a focus on ERP systems and infrastructure within the distribution or retail sector.
  • Experience with systems like SAP, Oracle, NetSuite, or other distribution/ omni-channel-focused ERPs is highly desirable.
  • Experience with eCommerce platforms like Shopify, Magento, WooCommerce, etc.
  • Knowledge of cloud infrastructure and services (AWS, Azure, etc.).
