Job Description:

The Clinical Operations Specialist Assistant will be responsible for the efficient day-to-day running of the clinic. Working closely with the Clinic Manager, this role ensures that all operational tasks are managed, staff are supported, and patient care is maintained at the highest standards. You will be the key point of contact for queries about the clinic's operations and provide essential support in managing team communications, scheduling, and overall clinic workflow.


Key Responsibilities:


Daily Clinic Operations

  • Oversee the smooth running of the clinic on a day-to-day basis, ensuring all necessary tasks are allocated to the appropriate staff and completed in a timely manner.
  • Monitor clinic workflows and adjust assignments as necessary to maintain optimal patient flow and operational efficiency.


Multidisciplinary Team (MDT) Coordination

  • Organise and schedule MDT sessions, ensuring all relevant team members are notified and necessary preparations are in place.
  • Ensure follow-up actions from MDT meetings are communicated and actioned by the appropriate team members.


Clinic Scheduling and Appointments

  • Assist with the scheduling of appointments and ensure the clinic's daily schedule is effectively managed.


Staff and Team Support

  • Provide administrative support to the clinic team, including managing internal communications.
  • Ensure any issues raised by staff are addressed and escalated to the Clinic Manager where necessary.


Patient and Visitor Queries

  • Serve as the first point of contact for patient and visitor queries related to clinic operations.
  • Resolve or escalate any operational issues that may affect patient care or the clinic’s ability to function smoothly.


Operational Reporting

  • Assist the Clinic Manager in maintaining accurate records of clinic activities, including staff hours, and operational incidents.
  • Support with the preparation of reports on clinic performance, highlighting areas for improvement.


Compliance and Health & Safety

  • Ensure all clinical operations comply with regulatory and organisational standards, including health and safety policies.
  • Assist with audits and inspections as required, ensuring all documentation is up to date and available.


General Administrative Support

  • Handle general administrative tasks such as managing emails, answering phones, and maintaining records.
  • Provide ad-hoc support to the Clinic Manager and other senior staff as needed.


Key Skills and Qualifications:

  • Previous experience in a healthcare or clinical setting is desirable.
  • Strong organisational skills with the ability to multitask and prioritise tasks in a busy environment.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook,) Google drive and clinic management software.
  • Knowledge of healthcare regulations and standards is a plus.

Working Hours:

  •  Monday to Friday 8:30am-5pm
