Your Role


Reporting into the Events & Sales Manager, the Event Executive role focusses on driving events sales, whilst coordinating private dining bookings and events.

The successful candidate should have strong interpersonal and telephone skills and the ability to multitask whilst being highly organised. Whilst this is mostly office-based sales and event organisation role, the successful candidate will also host site visits as and when required. Evening and weekend work may be required at times, although this is mainly a Monday to Friday role during standard office hours.

Your Responsibilities


Enquiry handling

- Answering the events line, taking the full details of the enquiry, probing for additional information and responding to questions in a polite, timely and accurate manner.

- Responding to email enquiries in a well written, courteous manner within 4 working hours.

- Keeping an organized record of all enquiry forms, summarizing conversion rates on a weekly basis to the Events & Sales Manager.

- Post booking follow up with the guests, offering additional support and building a relationship for repeat business.

- Highlight regular bookers, high end clients and potential PX’s to the Events Manager.


Function sheets and communication

- Producing function sheets detailing each booking. Good grammar, spelling and precise detailing are all of importance as this is sent to both client and operations team for review.

- Signed function sheets to be added to the events calendar, a minimum of 7 days prior to the booking date.

- All issues, complaints and positive feedback to be communicated in the first instance to the Events & Sales Manager.

- Any last-minute changes to be communicated to the Events & Sales Manager in the first instance and then to each of the relevant operations team.


Accounts

- Request required deposits from each booking and follow the data protection act for storage and handling of sensitive information.

- Ensure accurate communication of all deposit transactions with the accounts team.

- Produce a weekly report and revenue tracker summarizing the performance of the group and PDR bookings and submit to the Events Manager for review.


Your Requirements


- Knowledge and experience within the food and hospitality industry.

- Requires 2 years of comparable experience.

- Microsoft Office.

- Competent phone manner.

- Knowledge of 'TripleSeat' and 'SevenRooms' preferred.

- Excellent oral, written and interpersonal skills.

- Flexibility/adaptability.

- Team player.

- Excellent relationship building skills.

- Ability to communicate to all levels of management.
