Our client a well-recognised professional membership body with a membership body based in the UK and internationally, is currently recruiting for a Database Assistant


The Role of the Database Assistant

To enable its expansion plans, the organization needs to upgrade its operational systems and infrastructure. As part of the preparations for these changes, they are seeking to appoint a proactive data driven and detail-oriented individual with a keen interest in data and data sets to join and support their Systems and Digital team. You will be completing the annual contact data audit, working with the CRM and other data locations to ensure they remain compliant with data protection regulations. The role will involve delivery against specific data targets, so being able to manage your time effectively and meet deadlines is essential for success in this role.


Responsibilities



Undertake a full CRM data audit of all contacts to improve the quality and accuracy of the data. This will involve updating data records, checking records are correct and up to date as well as some research. You will need to be able to spot patterns including when a record contains mistakes or duplications.


There will be a need for manual updating of records as well as the opportunity for you to make recommendations for finding ways to create automatic updating processes working with the rest of the team.


You will also be collecting and auditing data from all the organisations’ systems including the CRM as well as the mailing system and spreadsheets.


You will provide regular progress reports to your line manager and the rest of the team alerting them of any major data issues and assist with creating new processes to prevent future errors. This will occasionally require you to present to the wider team so familiarity with presenting is an advantage.


An understanding of the importance and commitment to strict data confidentiality and compliance during and after your employment is required.



Experience and expertise

Relevant experience in data, data maintenance and analysis including maintaining records, responding to queries and providing reports

Good organisational and presentation skills

Proficient communication skills in English, verbally and written

Proficient in working with Excel, Microsoft Office software or Google Workspace. Advanced Excel skills are required for this role

Experience working with Customer Relationship Management databases (CRMs) such as CiviCRM.

Knowledge of not-for-profit sector or membership organisations.
