Job overview:

Our client is looking for a confident, experienced, forward-thinking individual to join them as Freelance Resource Manager to head the newly restructured Freelancer Management team. The team will be responsible for the recruitment, performance and management of the Group’s external subtitling and translation resources. They should have a deep understanding of subtitling and translation workflows, be knowledgeable and focused, commercially savvy, technologically minded, able to pick up tools/software quickly, be able to set up processes and procedures in line with new requirements, have excellent negotiation skills and be able to manage a large team.

Candidates must have a proven track record of developing operational efficiencies in a similar role within media localisation and excel at supplier relationship management.

You should be a strong leader, outgoing and be able to communicate with Management and team members and collaborate effectively with different cultures on a daily basis.

They are looking for a flexible and adaptable individual, able to help manage and prioritise the business’ demands whilst maintaining and building a team and growing a first-class pool of resources.

Responsibilities include but are not limited to the following:

  • Demonstrating a deep understanding of subtitling and translation workflows to optimise processes and procedures in line with new business requirements
  • Establishing clear performance metrics and feedback mechanisms to ensure the external resources consistently deliver high-quality work and meet project timelines
  • Leveraging your technological expertise to identify and implement tools and software that can enhance operational efficiencies within the Freelancer Management team.

Working with the Head of Subtitling Operations to:

implement the strategy for the Freelancer Management department, in line with the wider business objectives and needs

build a global first-class team of recruiters to source, test and onboard the subtitling, translation and post-editing freelancers required to meet business needs

play a pinnacle role in change management as the business centralises their subtitling service across the Group, separates the talent and studio supplier management and transitions from one system to another

centralise and standardise recruitment processes/workflows from across the business

create a single and updated freelance database and grow the talent base as necessary to meet business needs

create and manage the negotiation of standardised rate cards per language and service line

Setting up and maintaining an effective feedback process, to enable close performance monitoring of the freelance pool, including supplier delivery, reliability, quality and accuracy standards; ensuring all contractual terms are adhered to and working with the QC team to ensure inputs have been taken into account

Demonstrating expertise by providing consultation on new complex subtitling/translation-related project briefs, calculating capacity and numbers required, creating new VM workflows to support any new onboarding and create test material and supporting material accordingly

Putting together complex plans and overseeing the execution of campaigns to gather or update supplier data, including milestones/timelines, dependencies and ownership

Responding to RFP requests

Overseeing the development and testing of tools for the department, such as Supplier Testing Tool and SRM

Being main point of contact for internal dev team or Ooona to support speccing and development of department tools

Overseeing the maintenance of the database and being responsible for the integrity of all supplier data

Working with the Legal team on updates to legal documentation and ensuring the smooth rollout of updated agreements to the supplier pool

Setting up processes to enable the maintenance of strong relations with existing suppliers, to ensure the best resource choices are available to support and meet the production teams’ ongoing requirements and developing supplier policies and procedures to maximise performance and service quality

Providing the sales team with the best supplier costs and negotiating competitive rates with existing and new vendors for long-term collaboration and on a project basis

Researching emerging territories and sourcing new vendors to meet clients' needs

  1. Manage the daily operations of the department, support and mentor the team, and ensure adequate training is provided to enable them to fulfil their roles and responsibilities, including setting and monitoring objectives for the year


Monitor team’s utilisation and capacity closely, plan ahead to meet clients’ demands, allocate resources strategically, identify gaps and propose a business plan to address any support required

Maximise department efficiency through the development of workflows, documentation, centralised project and quote data recording, minimising duplication and ensuring effective project management

Provide the Head of Subtitling Operations and MD with reports on wins, challenges, client services feedback, issues and escalations, and propose any recommendations

Represent the Freelancer Management department at meetings internally and externally


Desired skills and experience:

University degree in subtitling and translation or related discipline



  • 5 years’ VM experience in a subtitling / translation / localisation environment or similar industry desired
  • 3-4 years’ experience as a subtitler or subtitle QCer, working with industry standard software Ooona Manager, Toolkit and EZTitles desired
  • Ability to pick up software/tools quickly and independently
  • Experience in interviewing / recruitment
  • Experience in managing a team
  • Ability to clearly and accurately plan, record and summarise project information
  • Excellent negotiating and interpersonal skills
  • Ability to handle multiple tasks, prioritise and work well independently, under pressure, and in a fast-paced environment
  • Strong knowledge of standard MS Office programmes, especially Excel
  • Experience in project management tools and applications
  • Business background and experience in subtitling, voice-over and dubbing a must
