Job summary
An exciting opportunity has arisen within the All Age Continuing Care team for an Administrator who is a positive and enthusiastic individual with keen eye for detail and a professional attitude.
We are looking for an exceptional individual to come and join our vibrant, fast paced, office based, administration team.
Main duties will include: Minute taking across a variety of health panels and meetings, processing Funded Care / Continuing Health Care referrals, liaising with outside agencies, organising meetings, updating our database, letter typing and dealing with all manner of enquiries via telephone and email.
Assisting Nurses with booking assessments.
The information we deal with is of a sensitive and clinical nature and therefore accuracy, attention to detail and confidentiality for us is of paramount importance.
Successful applicants will be computer literate with competent typing skills. They will be confident, quick learners, and be able to use their own initiative. They will have excellent communication and good time management skills, with the ability to achieve high standards of excellence within their work.
Working hours are Monday to Friday to
This role will be office based in Bristol with occasional remote working.

To understand the principles of electronic file management and apply them to daily work.
To pay close attention to detail and to ensure high standards of accuracy are maintained across all outgoing and internal material, ensuring information is accessible where there are barriers to understanding, for example first language not English, learning difficulties, or other impairments including visual and hearing.
Documentation and information leaflets.
To undertake training courses where appropriate to meet the changing requirements of the service.
To participate in the rotation to administrate the AACC panels. To organise and facilitate the meeting as required.
To be willing to learn and proactive in developing a knowledge and understanding of the service and CHC/FNC processes and practices.
To carry out other appropriate delegated duties as required.

This includes using the electronic server and intranet to share and collaborate on documents, appropriate naming and filing of electronic documents, and appropriate storage and archiving of e-mails and other correspondence.
To pay close attention to detail and to ensure high standards of accuracy are maintained across all outgoing and internal material, ensuring information is accessible where there are barriers to understanding, for example first language not English, learning difficulties, or other impairments including visual and hearing.
Open, log (electronically) and file post in relevant patient files including sending patient notes via recorded delivery. Check post and ensure relevant Nurse Assessors are aware of any emergencies.
To be responsible for typing and sending confidential letters to Service users, Social Services, Care homes, Care Agencies, GPs, Health Care professionals, Solicitors, Members of Parliament, Health Ombudsman and family members including all relevant documentation and information leaflets.
To undertake training courses where appropriate to meet the changing requirements of the service.

Person Specification
Knowledge, Training and Experience
Essential
Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience. Demonstrable experience of working in an administrative environment and working with computerised data systems. Knowledge of NHS issues.
Desirable
Experience of working in a health care environment. Awareness of a range of Health Services provisions. Working knowledge of Microsoft Office including Word and Excel. Understanding of Data Protection legislation.
Communication Skills
Essential
Clear communicator with good writing, data entry and telephone skills. Ability to work effectively as part of a team. Problem solving skills.
