Job summary

Working closely with the wider Management team, this role will serve as the main point of contact for creation and amendments of all clinical rotas. You will provide administrative support to the senior management team and will be responsible for the provision of effective rota coordination, coordinating activities and communication between staff, patients PCN and other external parties whilst providing general assistance to the practice team.

Main duties of the job

Production and day to day management of all clinical rotas, highlighting any capacity issues to the Management Team and assisting with the organisation of locums where approved by the Hub Manager. Applying all Clinical rotas to S1, ensuring they are available at least 4 weeks in advance and organising any amendments or cancellations due to sickness or other leave. Organising induction plans for clinical team including meet and greet. Organising room rotas to ensure enough capacity to accommodate the clinical team within each building. General support to the Management team.

About the Team

We are looking for individuals who are enthusiastic in learning about the day-to day operations of a GP surgery and looking for a career in Primary care. We are expanding our Management Support team, with a view to supporting the existing Management team to improve the smooth running of the 3 sites that form Lakeside Healthcare St Neots.

Job responsibilities

Job Summary:

Working closely with the wider Management support team, this role will serve as the main point of contact for all clinical rotas. I will provide administrative support to the senior management team and will be responsible for the provision of effective rota coordination, coordinating activities and communication between staff, patients PCN and other external parties whilst providing general assistance to the practice team and projecting a positive and friendly image to patients, staff and other visitors, either in person or via the telephone.

Job Responsibilities:

Production and day to day management of all clinical rotas, highlighting any capacity issues to the Management Team and assisting with the organisation of locums where approved by the Hub Manager. Application of all clinical rotas to S1. Ensuring sickness is reported on RotaMaster and Line Manager is aware, and appointments re-scheduled as a priority. Amendments to rota should be organised in a timely fashion and communicated to the team. Produce GP Registrar/Student rotas, liaising with educational team for training and study requirements including tutorial planning. Organise IT logins for the Students/New Registrars. Meet and greet new Clinical starters, show them around, ensure Fire procedures are communicated. Produce foundation and registrar inductions and rota plans in accordance with their levels, including tutorial planning. Create, distribute, and coordinate the room rota for the St Neots Hub, including meeting rooms. Create and communicate induction plans for clinical new starters. Report GP Registrar absence/study leave on the ERS platform. Attend and contribute to team, patient services and staff meetings as and when required. To work in accordance with written Standard Operating Procedures (SOPs) and all practice procedures.

Other Tasks

Allocation of Pathology results as per protocol. Monitor and respond to/distribute incoming emails to generic account. Duties may be varied from time to time under the direction of the Management team, dependant on current and evolving practice workload and staffing levels. Person Specification

Qualifications

Essential

Good standard of education. Good working knowledge of IT systems.

Desirable

Education to GCSE standard including English Language.

Experience

Essential

Customer Service Skills. Attention to detail. Experience of working in a busy & multi-functional team. Good organisational skills. Ability to organise own workload and work independently.

Desirable

Using Systm One (Clinical database). Experience of working within a GP Surgery. Experience of handling confidential information and data.
