Job summary

Thepurpose of the role is to:

- Overseethe Administration Team Roles and Tasks

Provide cover & support as andwhen necessary; have an understanding of each aspect of the office function

Management of scanning, Coding and workflow process

Oversee the scanning process; ensure there isadequate cover; manage backlog; Update and review processes as necessary;ensure that coded entries are entered appropriately and accurately

Manageadmin emails & Safeguarding email.

Attendadmin meetings including SafeguardingMeeting when required.

Dealwith enquiries by telephone or in person.

Facilitateeffective communication between patients, members of the primary health careteam, secondary care and other associated healthcare agencies.

Planningand coordinating administrative procedures and systems and devising ways tostreamline processes in the use of systmone.

Recruitingand training personnel and allocate responsibilities and office space.

Assessingstaff performance and provide coaching and guidance to ensure maximumefficiency

Conductsemi-annual evaluations of administrative personnel and provide guidance aboutpotential improvements in each employees performance

Serveas the liaison between administrative personnel and senior management,communicating needs and concerns so they can be handled expeditiously

Anyother duties as advised by the line manager

Main duties of the job

Duties and Responsibilities :

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Head of Operations/Head of Systems, dependent on current and evolving practice workload and staffing levels:

Taking accurate messages and passing on information Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning Supervising day-to-day operations of the administrative department Hiring, training, and evaluating employees, taking corrective action when necessary. Developing, reviewing, and improving administrative systems, policies, and procedures Any other duties as advised by the line manager
