This fixed term post offers the successful candidate the opportunity to develop the knowledge and skills required to work as a senior management assistant. This trainee role will support the development of these skills and you will be required to undertake a programme of on the job learning supported by a mentor.

Main duties of the job

The post holder will provide full and effective administration support within the Senior Management Assistants Team. Working as a Team Player, assisting other staff groups as necessary, providing secretarial, administrative and organisational support to the Senior Management Team and Assistants.

In addition, assisting/supporting the Senior Management Assistant (SMA) Coordinator in the smooth running of the SMA Team and maintaining a high standard of administration throughout the department.

Job description

Job responsibilities

To be responsible for actioning all enquires from the senior managers and supporting staff, received via the generic Team mailbox, providing advice and information as appropriate, following guidelines at all times.

Some experience of minute taking is desirable but not essential as full training will be given.

To be responsible for day-to-day diary management, arranging and coordinating meetings and to resolve conflicting diary appointments and schedules for identified staff as necessary.

Qualifications & Knowledge

Essential

oGood standard of general education (GCSEs, including English and Maths at grade C or above) or ability to demonstrate equivalent work experience.

Desirable

oA good knowledge of the Microsoft package and its applications, being able to format documents. oAwareness of policies and procedures relating to dealing with confidential data both personal and organisational.
