Job description

Job responsibilities

Key Responsibilities:

1. Secretarial Duties

a. Typing letters, reports and associateddocumentation as required

b. Liaising with external agencies such ashospitals and community services, ensuring referrals are processed efficiently

c. Managing all enquiries in an effectivemanner

d. Maintaining an accurate referrals database

e. Maintaining up to date spreadsheet for twoweek wait referrals

f. Actioning all incoming email

g. Acting on electronic tasks sent by the GPsin a timely manner

h. Prioritising urgent GP requests/referralsappropriately

i. Scanning of patient related documentationand attaching scanned documents to patients healthcare records

j. Inputting data into the patients healthcarerecords as necessary

k. Processing referrals using the electronicreferral system (ERS). Review the e-Referral work lists and actiontasks accordingly, liaising with patients when necessary

l. Processing requests for information Insurance/solicitors letters and DVLA forms

m. Clinically coding data on EMIS Web

n. Answering incoming phone calls, transferringcalls or dealing with the callers request appropriately

o. Managing all administrative queries asnecessary

p. Carrying out system searches as requested

q. Maintaining a clean, tidy, effective workingarea at all times

Maintain up todate directory of referral addresses and modes of referral

Action workflow, emailsand tasks on a daily basis to ensure response times are achieved

Report anybreakdowns or IT issues to the relevant nominated individuals within thePractice

4. General

Adhere to all practicepolicies, procedures and protocols, ensuring compliance with CQC, Health &Safety, Confidentiality, Data Protection and Employment Legislation

Be flexible during sickness/holidays of other team members and providecover as required.
