Job summary

An exciting opportunity has arisen within SWFT for a Data Quality/Failsafe Assurance Administrator - Child Health South Hub. Covering the South of the West Midlands (Coventry, Warwickshire, Herefordshire & Worcestershire).

Based in Stratford-upon-Avon, the successful candidate will:-

Have an excellent knowledge of using a variety of computer packages to include excel word. You will be responsible for entering of births, NIPE results, Neo-natal hearing screening, immunisations, the five universal health checks and ensuring all babies and children records are kept accurate on the Child Health Information system. Upload of school immunisations and development checks and running and sending of reports answering any telephone queries and distribution of post within the office. The successful applicant will report to the Deputy Child Health manager.

The role will require the successful candidate to be able to manage their own workloads within the timeframes given and keep to deadlines as required. The successful candidate will develop excellent working relationships with colleagues in the North and Central West Midlands CHIS hubs, clinical teams, practice managers, health visitors and maternity units.

Main duties of the job

The post holder will work within the Child Health Department (CHD) supporting the requirement to ensure that all data relating to the Healthy Child, Screening & Immunisation Programmes is of the highest possible quality.

The post holder will be responsible for monitoring the completeness of data fields within the Child Health Information System.

The post holder will contribute to the optimisation of data collection, validation and processing, including proposal for the improvement and or streamlining of existing processes and information presentation and at all times maintaining a high level of security and confidentiality of data.

The post holder will receive data from clinicians and prepare it into the required format to allow data uploads into the Child Health Information System (CHIS).

Job responsibilities

Processing of Birth notifications via the Batch processing and automatic email functionalities within the CHIS

Process data via the following systems / uploads:-

NHS Digital uploads

Demographic links facility within CHIS

Education Extracts via secure file from Local Authorities

Neonatal infant physical examination system (NIPE Smart)

Neonatal Hearing screening system (SMART4HEARING)

Newborn Bloodspot Failsafe system (NBBS Failsafe)

Hepatitis B Failsafe system (HepB Failsafe)

CarePlus electronic record transfer ( Facility within CHIS to transfer computerised copy of CHIS record nationally to other CHD)

National Spine Summary Care Record (SCR)

Health Intelligence Immunisation extracts / data Uploads

Fast Healthcare Interoperability Resource system (FHIR)

Provide a failsafe assurance role for the Hep B, Newborn bloodspot & Childhood Immunisation programmes. Escalating missed screens, late immunisations & noncompliance to Public Health England Screening & Immunisation Teams.

Produce and disseminate data quality reports from Child Health System to agreed departmental standards.

Liaise with Universal Nursing Teams, GP Practices and individuals to chase and correct data deficiencies highlighted in data quality reports on a daily basis.

Validate weekly reports concerning missing NHS numbers, duplicates, incomplete demographic details and other discrepancies.

Access the population registers of relevant NHS organisations and NHS strategic tracing services to check current patient demographic details.

Provide analysis support to Data Quality / Failsafe Team Leader by utilising appropriate query tools ( Microsoft Excel, Access and other data sources for monitoring, forecasting and audit purposes.

Produce, distribute and follow up of following documentation to GP Practice, Health Visitors and other agencies.

Undertake regular audits of computerised and manual records as directed by the Data Quality / Failsafe Team Leader and in accordance with the Data Quality Framework.

Implement Data Quality plans as directed by the Data Quality / Failsafe Team Leader to correct erroneous data or address information / data gaps.

Monitor results for relevant Healthy Child Screening programmes identifying outstanding results and ensure follow up action.

Ensure an outcome is recorded for all eligible children.

Produce Data Quality feedback reports on behalf of the Data Quality / Failsafe Team Leader to enable timely, effective feedback to other service users.

To ensure that all relevant datasets are received, processed and validated on time every month and that data quality issues are highlighted to teams and Data Quality / Failsafe Team Leader in order to ensure consistency for analysis and reporting purposes.

Produce monitoring and data quality reports to illustrate activity and performance and to help with investigating areas of concern around Information sources and definitions.

Production of datasets to provide information reporting on Departmental Key Performance Indicators (KPIs).

Qualifications

Essential

Educated to GCSE level or equivalent. NVQ Business and Administration 3 or RSA 3 ECDL / MOST. GCSEs in Math's and English

Experience

Relevant office / administrative experience Customer care experience. Relevant experience of collecting, collating data, and creating reports. Previous experience of a job requiring numeracy Previous experience of working within the NHS Previous experience of NHS Patient Administration System or Child Health System Proven experience of MS Office, MS Outlook, MS Excel

Desirable

Relevant experience of using National Strategic tracing Service (NSTS). Relevant experience of working within a busy environment
