Job summary

To provide administrative and clerical duties and support the departmental Organise own workload and work independently, responding to urgent request for reports and frequently interruption during a day's Train others in the use of all software applications on the unit to maintain records/database. Answers telephone calls without delay, incoming caller of department/extension and own name and position, establishes identity of caller and reason for calls and transfer calls to other member of staff as required. To use the IT system to admit, discharge and book patients' appointment.

Main duties of the job

Administration and Clerical duties along with IT usage of Excel, Word and PowerPoint for correspondence and documents. Troubleshoot queries on database validation. Pull referrals from PTL dashboard and monitor referral system pre-op team. To ensure all relevant appointment are available for the following day. To arrange and book all appointments ensuring that prioritisation, patients' circumstances and waiting list initiatives are considered. Booking patient transport to and from the unit or to transfer patient as required. Working alongside with the administration team from Optimisation to liaise and arrange patients' appointments. To be proactive in managing a varied workload including efficient time management, prioritisation and achievement of daily and weekly tasks. To register patient onto the IT system, updating information as necessary to maintain accurate records. Maintain appointment diary, record keeping, photocopying and filing system. To remove patient from the IT referral system once their appointment has been made. Liaise with other departments to pain team to arrange patients' appointment. Ensure stocks of paperwork is available, relevant patient forms such as information leaflets for lifestyle advice and mental health services.

Two equivalent 'A' levels and Experience to NVQ level 3 or equivalent, knowledge of healthcare settings acquired through training and experience Computer Literate Training / Experience in office administration
