London, United Kingdom CLARKSON PLC Full time

Role Summary

We have an exciting new opportunity for a HRIS Apprentice to join our HR team in London. The person in this role will be responsible for supporting the ongoing administration, maintenance, operation and configuration of SAP SuccessFactors, as well as support our payroll system (ResourceLink) where necessary. For both systems, you will be a key point of contact for user and reporting queries. You will also work closely with the Head of Compensation & Benefits during our annual compensation review process, and at this time you will work solely on key tasks to support this process, such as data inputting and updating employee information into our compensation system (Payscale). This role would suit someone with experience in an entry-level HR systems role or an individual currently working in HR who is looking to transition into an HR systems-focused position at an early-career or foundational level.

What you’ll be doing

• Act as the first point of contact for system user and reporting queries.

• Maintain and administer the HR system with configuration such as new job titles, cost centres, work schedules, permissions etc.

• Coordinate the preparation, production, and distribution of weekly, monthly, and quarterly reports.

• Support system actions based on the HR/yearly calendar (e.g., performance and pay review cycles, holiday period-end processing, renewal of the annual compliance training).

• Partner with internal colleagues across the organisation, as well as third-party vendors, as needed for system maintenance and first-line support for system issues.

• Support system changes through to implementation, ensuring testing is completed and changes are communicated effectively.

• Identify opportunities to improve data quality and integrity by preparing data audits and reconciliations and support the delivery and implementation of improvements.

• Produce and maintain system documentation, such as workbooks and training materials.

• Provide end-user support by delivering system training to new joiners and offering ongoing training as needed to ensure adoption and ease of use.

• During the annual compensation review process, work closely on tasks related to supporting this process, including but not limited to data input, reconciliation, and cleansing.

• Provide support for cyclical and ad-hoc activities, including projects and HR initiatives.

• Undertake additional or ad-hoc duties as required to meet business needs.

What we’re looking for
We invite applications from candidates who can demonstrate:
• Drive and self-motivation, with the desire and commitment to succeed, deliver excellence and make positive change;
• Resilience with the ability to persist and adapt;
• Collaboration, able to work well with others across diverse backgrounds to share information, develop skills, and deliver results;
• Relationship building, with excellent interpersonal skills and the ability to quickly build rapport;
• Smart problem-solving and analytical abilities, with a curious and inquisitive mind, and an openness to new ideas;
• Professional integrity and a respect for company values.

Other requirements
• Strong numeracy skills and proficiency in MS Excel (vlookups, IF statements), with a good understanding of using technology and reporting tools.
• Excellent analytical and problem-solving skills.
• Experience in a similar data environment is desirable but not essential.
• Knowledge or experience with SAP SuccessFactors is an advantage but not essential.
• Some experience in an administrative position, preferably within a HR environment.
• Strong sense of integrity, ensuring confidentiality in handling sensitive data and tasks.
• High level of accuracy and attention to detail.
• Highly organised with the ability to prioritise and manage multiple tasks effectively.
• Ability to adapt to a fast-paced business environment.
• Willingness and ability to learn quickly.
• Proactive, with the ability to use initiative.
• Able to remain calm, composed and resilient under pressure.
• Flexible and adaptable to meet business needs.
• Team player with good communication skills.
• Able to collaborate effectively with colleagues and external partners.
