Job description

Job responsibilities

Deputise when required in the absence of the Quality and Deputy Quality Managers, acting as the main point of contact and advice for matters relating to document control and other quality system issues.

Communicate information with a range of complexity to other staff at all levels within the directorate, the NGH Trust, and with external persons as appropriate

Communicate in a tactful and diplomatic manner since information about compliance with standards, guidance and regulations or results of audits can be unwelcome.

Manage and monitor the directorate Quality Management System procedural audit programme.

Maintain an effective and efficient electronic and hard copy storage system for directorate documentation.

Supervise the directorate patient feedback programme, including out-patient surveys, formal complaints, and any other relevant feedback system utilised by the Directorate / Trust.

Accurately inputting of data into numerous databases / information systems in a timely manner and taking action where inaccuracies are noted. Extract and collate data from databases.

Assist in monitoring, investigation and reporting of incidents and non-conformances.

Provide staff training and advice related to aspects of a Quality Management System. This can be on a one-to-one basis or more formally in groups.

Perform risk assessments as required, identifying and assessing hazards, providing feedback on required actions to senior managers and the directorate Risk Management Group, and providing recommendations to improve services that may alter policy.

Be responsible for organising, attending, participating in, and taking minutes in departmental and directorate level meetings.

Act as a fire warden for the directorate and perform safety inspection audits, taking action where required.

Perform impact screening and full assessments on directorate policy and procedure documents.

Act at administrator level to maintain the electronic Quality Management System software (QPulse application) and other data bases as required under the direction of the Quality Manager. Supervise the timely issue of Trust-wide Intrathecal Chemotherapy Registers, and administrate the section of the Trust Intranet that displays the Trust-wide Intrathecal Chemotherapy Registers.

Provide general administrative services as required by the department photocopying, dealing with post, dealing with telephone or face-to-face enquiries and take appropriate action.

Be responsible for maintaining levels and security of Quality Office stationary supplies and order additional supplies when required

Comply with organisational and directorate policies, but also contribute to identification of service improvements and potential policy changes.

Education, Training and Qualification

Essential

Completed ISO Quality Management System introductory course. HNC / Diploma level of education or equivalent level of knowledge and competences Advanced keyboard skills to RSA 3 or equivalent GCSE English Language or equivalent. GCSE Maths or equivalent Completed audit training course. Prepared to complete intermediate / advanced Microsoft Excel course.

Desirable

Quality Management System qualification or evidence of training Completed risk assessment training. Completed training for investigation of incidents Microsoft Excel course completed to intermediate / advanced level

Knowledge and Experience

Essential

Good working knowledge of Microsoft Office products. Good working knowledge of Microsoft Excel to data analysis level. Understanding of the principles of the ISO 9001:2015 Quality Management System standard. Experience of using Microsoft Office applications. Experience in administrating databases and in extracting data and preparing reports. Experience in the various aspects of and tasks involved in Quality Management Systems. Confidence to persuade staff at all levels to comply with Quality Management System standards Experience of performing internal audits. Experience of training and supporting staff.
