Job summary

Are you an accomplished and efficient administrator with proven office experience and IT skills? Do you possess L3 business administration qualification or have L2 and willing to work towards L3? This is a crucial role to support Royal Papworth Hospital to provide a transparent view of our CQC compliance and ongoing commitment to provide outstanding patient care.

You will join a successful team who provide an essential service. You will support the Head of Clinical Quality Improvement with quality improvement initiatives by carrying out clerical tasks to facilitate the smooth running of projects. Reporting to and working closely with the Quality Compliance Officer, you will support workstreams associated with the review of CQC regulations and follow up of actions.

Applicants must have proven organisational, time management and team working skills, be passionate about attention to detail and act as an advocate for improvement. You will be capable of working on your own initiative, have excellent interpersonal skills, strong written and verbal communication capabilities and be able to effectively prioritise a dynamic workload. In return you will join a friendly team at the UK's largest heart and lung hospital whilst being supported to develop professionally.

Based at Royal Papworth Hospital, 20 hours per week ideally across 4 days, there may be a need on occasions to flex these hours to suit demands of the service.

*Provide admin support to the Head of Clinical Quality Improvement & Transformation and Quality Compliance Officer to ensure evidence is comprehensive, current and reflective of best practice

*Support the Head of Clinical Quality Improvement & Transformation in development of Harm Free Care initiatives

*Assist the Quality Compliance Officer to provide a clear view of the Trust's compliance with the CQC Fundamental Standards

*Track action plans and information requests relating to internal peer reviews and quality improvement programmes, information is sometimes complex or sensitive, and may require tact or persuasive skills to obtain the information

*Track completion of key monitoring activities relating to the Trust quality standards

*Maintain diaries, arrange meetings and events, coordinating availabilities and booking rooms

*Prepare and circulate agendas; take minutes in a timely manner

*Plan and organise a number of complex activities involving formulation and adjustment of plans, such as meetings, action and project plans

*Ensure processes for documentation of quality improvement programmes and filing systems are in place

*You may be asked to provide admin support to the Assistant Director of Quality & Risk and to cross cover for other administrators within the Clinical Governance team

NVQ III in Business Administration or Customer Care, BTEC OR Secretarial diploma or equivalent level of knowledge and experience GCSE English and Mathematics Grade C or Level 4 and above European Computer Driving License (ECDL) or equivalent qualification or experience

Previous experience of a full range of clerical/administrative duties Previous experience of minute taking and organising meetings Experience of providing administrative support to a project or programme Experience of working independently and on own initiative without supervision Experience in working collaboratively within a team environment Confident in the use of Microsoft Office programme especially Outlook, Word, Excel, PowerPoint and Teams Excellent verbal communication skills both face to face and over the telephone Excellent interpersonal skills including sensitivity, discretion and diplomacy using tact or persuasion to overcome potential resistance Good standard of written English, able to write clearly and concisely. Able to write simple reports. Excellent organisational skills to prioritise own workload, with the ability to change priorities at short notice and plan workload efficiently to meet deadlines, remaining calm and under control when under pressure Able to pay close attention to detail in written and electronic communication and information storage Be able to concentrate for long periods, eg, when using software packages for a substantial part of the day
