Job summary

The Community Stock Manager will be responsible for the provision of an effective electronic stock management and replenishment service. The post holder will undertake stock control, ordering of goods, and distribution of received goods in line with Standard Operating procedures. This post covers a range of tasks, some of which require the exercise of initiative.

The post holder will be a main point of contact in relation to stock room queries, assisting in resolving issues and escalating through the appropriate channels where necessary. The post-holder will have key working relationships with Community Nursing staff and Community Caretakers to ensure that stock is available when it is required.

The post holder will develop and maintain stock request forms, updating the pro-forma with any new or amended supplies when required. They will also undertake quarterly stock reviews with the appointed departmental lead as well as Supply Chain evaluations using system-based reports.

To undertake this role, you must be able to travel independently across the Trust, transporting stock if required.

This is a permanent full-time post ( hours) to be worked across Monday to Friday.

Main duties of the job

The post holder is to implement and maintain a stock management service across sites in the Community, undertaking the day-to-day ordering activity in line with agreed protocols. This is a physical role which will also involve the internal movement of stock within the locality as and when required.

The post-holder should have the ability to travel throughout the Wigan Borough to each of the Community sites to undertake this role.

The post holder must have competence and ability to place orders on the Trust's internal electronic supply chain system, NHSSC, using a pro-forma and any additional stock request forms. The post-holder is to ensure accuracy and attention to detail when placing orders, to ensure the correct stock level and item is ordered.

The post holder will be responsible for ensuring that patient stock requirements are met in the most cost-effective way possible by ensuring continuity of supplies at all times. They will also be required to assist in resolving emergency stock requests, by sourcing stock in a timely manner.

The post holder will receive, check, and put away all deliveries. They will ensure that items are rotated, stored in the correct location and the store areas are left tidy. Any surplus, out of date or obsolete stocks in department areas must be managed effectively, redistributed, or returned to supplier.

The post holder will report discrepancies with stock within pre-determined deadlines to ensure that credits are processed, or replacement stock items are delivered. They will also determine if alternative products can be provided for non-delivery of ordered items or out of stock good and arrange delivery as appropriate.

The post holder will be required to attend mandatory training sessions and any other job-related training as defined by their Line manager.

Planning and Organisational Duties

The post-holder will be required to work to a weekly schedule, to visit each health centre to undertake stock checks. They will be adaptable and able to re-prioritise work as required to take account of unforeseen and unplanned activity.

The post holder will be required to keep all associated paperwork and files regularly updated in line with code and location changes.

Communications and Key Working Relationships

The post holder will identify and agree all products and stock levels with Team Managers, monitor usage and activity patterns and place timely and accurate orders to maintain agreed levels.

The post holder will work with Team Managers to Periodically review and update stock items in accordance with patient requirements.

The post holder will advise nursing/medical staff regarding any issues on supply that may affect patient care.

Responsibility for Finance

The post holder will carry out quarterly reviews with department leads, using system information as appropriate to illustrate spending pattern.

The post holder will assist in value for money studies to contribute to savings set targets and regularly reports spend/saving activity.

The post holder will complete paperwork for finance when goods need to be re-charged for budget to budget.

Responsibility for Health & Safety

Compliance with the Health & Safety at Work Act 1974 the post holder is required to fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.

Responsibility for Teaching

The post holder will be required to assist in the training of new members of staff on ordering processes and systems.
