Primary purpose of the position

To support the Human Resources Business Partner in providing a comprehensive, professional and customer focused HR service to Milliken Associates and to support the implementation of the HR strategy. The Human Resources Advisor will provide administrative support to the HR team and internal and external customers, in an accurate, prompt and efficient manner. The role will join a friendly and supportive HR team, who are committed to delivering HR excellence, ongoing development and engagement.

 

Principal Accountabilities

Recruitment/ Selection and Leavers

  • To assist with recruitment and selection activities for all Associates, including developing job descriptions, liaising with the HR Business Partner re advertising of vacancies on company and other websites to source suitable candidates and for liaising with applicants and line managers to assist with the process, ensuring that costs are minimised.
  • To be responsible for working with managers throughout the recruitment and selection process, reviewing CV’s, shortlisting candidates on their behalf and advising them on suitability of candidates throughout the process.
  • To be responsible for carrying out interviews together with line managers. These will be supported by the creation of structured interview templates.
  • To be responsible for ensuring that we provide an excellent service to candidates throughout the recruitment process ensuring that they are kept informed, replies and offer correspondence are sent promptly and that the company is represented in a professional manner.
  • To keep the SAP Talent Central system up to date with all recruitment information for reporting purposes.
  • Preparation of induction packs and to be responsible for organising onboarding programmes with managers and completing HR Inductions with new starters.
  • To monitor the probationary review process for all new associates and guide managers where needed.
  • To ensure all leaver documentation is completed and information provided to relevant parties (Payroll, Finance, IT, Occupational Health etc.)
  • Implementation of exit interviews.

 

Employee Relations

  • To manage the following key areas
    • Develop and maintain productive and collaborative relationships with associates, managers, suppliers and other third parties demonstrating professional credibility at all times and providing an excellent HR service to the business.
    • Provide advice and assistance to associates and managers on HR policies, procedures and legislation, ensuring that they are accurately interpreted and up to date information is provided.
    • Ensure HR policies are utilised fairly and consistently, and the company values are upheld.
  • Provide advice and support to line managers and associates regarding any employee relations issues that may arise, ensuring that accurate information is communicated and processes followed according to organisational requirements.
  • To support managers with any absence, disciplinary, grievance hearings as needed and to be responsible for the preparation of relevant documentation including case files, invite and decision letters.
  • To provide the Human Resources Business Partner with regular updates on all associate relation matters.

 

Training and Development

  • Responsible for facilitation of Apprenticeship programmes.
  • To support training providers with any onsite training programmes.
  • To support the Talent and Development team with any required training or information and course preparation.

 

Absence Management and Payroll

To be responsible for the absence management process for all associates including:

  • Supporting people managers with the absence management procedure.
  • Ensuring all Return-to-Work documents are completed promptly, reporting any missing information.
  • Maintaining accurate absence files for associates and monitoring the time and attendance system (Kronos) for any exceptions/anomalies.
  • Collate all information regarding any payroll amendments in relation to absence data, including updating SSP information.
  • To be responsible for liaising with the Payroll and Benefits department regarding any hourly payroll adjustments and payroll queries and ensuring that payroll adjustments are accurately recorded in the HR system, by providing accurate supporting paperwork.

 

Occupational Health

  • Assisting with the booking of health assessments for new starters.
  • Updating H&S with relevant data.

 

HR Projects and Administration

  • Ensure all HR systems and data bases are accurate and up to date, including the time and attendance system (Kronos), issuing of and maintaining security cards, SAP Talent Central, SAP Purchase Orders, preparation of monthly and annual HR Scorecard Reports.
  • Completing HR Reports at the end of each period to ensure data is accurate and up to date.
  • To maintain effective, value adding processes on a daily basis.
  • To pro-actively look at opportunities to automate and streamline HR processes on a regular basis.
  • Ensuring that all job descriptions are maintained by working with the departmental manager to produce them.
  • Opportunity to be involved with project work as required.
  • Support additional tasks as requested by the Human Resources Business Partner to meet and support the Human Resources Department.

 

Key Competencies

Essential

  • GCSE Standard of education
  • Proficient with a range of Microsoft applications and Sales software packages, Including SAP
  • Fully or part CIPD (Chartered Institute of Personnel and Development) qualified with a track record of HR success.
  • Ability to use own initiative to make decisions which may impact the business, but can be clearly justified
  • Numerate and data rational
