Main duties of the job

The role is based in the Pharmacy Business and InformationTeam responsible to the Lead Pharmacy Business and Informatics Technician

The post holder will work with the Lead Business andInformatics Technician to maintain and develop the use of the electronicrostering system used in Pharmacy

Responsible for contributing to the provision of acomprehensive, secretarial and administration service to the Leadership teamand department staff at BAH, DMH and UHND using initiative in dealing withenquires (oral, written and via email) in their absence.

To work unsupervised with reference to appropriatepolicies/procedures and standard operational procedures and to escalate mattersas necessary.

To manage own workload to meet deadlines and touse own initiative to prioritise and organise own work.

Job responsibilities

Electronic Rostering System

The post holder will;

Develop aworking knowledge of the electronic rostering system

Supportthe administration and maintenance of the electronic rostering system used inPharmacy which includes:

o Amendingleave requests

o Runningreports to check sickness, time owing, annual leave balances

o Performingend of month checks

o Creationof bank shifts

o Updatingweekend swaps and ad hoc changes to working patterns

o Runningthe Auto Roster for each roster period

o Addingand amending working patterns

o Proposingchanges to existing policies or working practices that are required to drivemaximum benefit from HealthRoster in Pharmacy

o Updating thedepartment annual leave chart with weekend working

o Acting asa point of contact dealing with general enquiries, escalating where necessary

Contributeto the management of the administrative process for reviews of all officialpharmacy documents and forms

Create,format and update word documents and spreadsheets

Maintainaccurate and timely data entry to databases to meet service requirements

Act as aDSE assessor performing DSE assessments as necessary and escalating actions tomanagers

Use owninitiative in dealing with enquires (oral, written and via email) in absence ofmanagers in order to forward to the most appropriate individuals

Respondto routine communications (written or electronic) where possible; initiatingroutine correspondence within agreed guidelines and procedures, for themanagers approval

Deal withtelephone and face-to-face enquiries from all staff groups and third partyorganisations

Assistteam members with regard to Registration Authority duties as an RA Agent

Managedepartmental data systems and administration processes thereof

Undertakethe role of Information Asset Officer to provide support for the control andadministration of information assets within their area/department (details available on the Health Informaticsweb page).

Experience

Essential

Previous secretarial and administrative experience.

Desirable

Previous experience in a health-related environment. Previous experience with the HealthRoster system.

Able to travel across Trust sites when necessary.

Qualifications

Essential

Good standard of education minimum GCSE standard (4 Cs and above) or equivalent including Maths and English. Computer literate with good keyboard skills (RSA 3 or equivalent). NVQ3 Business and Administration (or equivalent experience).

Special Skills and Knowledge

Essential

Good communication and organisational skills. Excellent customer care skills. Excellent IT skills. Good oral and written communication skills. Able to demonstrate own initiative and to anticipate and pre-empt problems. Excellent organisational skills. Ability to manage and prioritise own workload and to work to agreed deadlines. Ability to work effectively as part of a team.

Desirable

Knowledge of pharmaceutical terms and drug names.
