The role is crucial to the successful running of the day-to-day of the Security Operation. As a Duty Shift Manager, the role demands a high level of people management and customer services liaison to deliver an effective and efficient physical security provision. Furthermore, the Duty Shift Manager is required to have basic knowledge of the Data Protection Act (GDPR) as the role also requires extensive CCTV knowledge, live and access control systems, to ensure the smooth and effective day to day running of site-based security team. Hours of work are 19:00 - 07:00, on a 4 on 4 off rotation.


Key accountabilities

        To maintain a safe and secure environment by protecting people, property and assets by undertaking dynamic risk reviews of site to help identify threat and vulnerability and taking appropriate action to mitigate risk.

        To fully implement any client threat escalation procedures on becoming aware of any matter that may threaten the security and or safety of the estate, assets and people with legitimate business on the site.

        To be fully conversant with the categorisation of incidents on site and to respond, escalate and accurately report in accordance with the assignment instructions all incidents which occur within your shift, whilst undertaking any necessary follow up action as required.

        To respond to all aspects of the estate emergency responses i.e. Fire and emergency alarm system(s) and cascade relevant information to the command and control for the incident.

        Monitor the Fire Alarm and security systems and relay any information via radio necessary for the safety of the Estate.

        To be fully conversant with the Hanover Assignment Instructions, Emergency Evacuation procedures and Major Incident response(s).

        Report as required, any incidents to the emergency services and follow the correct escalation process.

        To assist the security supervisor or the security manager by carrying out reviews utilising available technology as required and to ensure reports are completed and provided in timely manner.

        To check and process data from the MyTAG Management System and provide reports  whenever requested by the Security Manager and/or Estate Management Team.

        To strategically manage resources, ensuring a proportionate balance between service and risk using the site daily rotation of the team.

        At the commencement of your duty you are to familiarise yourself with any events that are due to take place during the shift and shift hand-over document and diary.

        Ensure the shift hand-over document always contains accurate and up to date information.

        To immediately report any systems malfunction in accordance of the Assignment Instructions and SCC via Helpdesk and follow up on ongoing and logged jobs and update security management team and client.

        To act as a first line support for shift officers who encounter incidents or difficulties and escalate to the security supervisor and/or security manager if necessary.

        Undertake any other duties that are reasonable and necessary to ensure the smooth running of the Estate.

        To carry out any investigations as required and to ensure reports are completed and provided in a speedy fashion to the client and the Security Management Team.

        To check and process data from the MyTAG System and provide reports whenever requested by the Estate FM Team.

        To ensure those on duty maintain high level of discipline and are in position in their correct uniform and starting/finishing at the correct time.

        Ensure the security team breaks are monitored and that positions are covered at all times.

        Ensure security team members are booked on/off as per policy.

        Compliance with the Data Protection Act and CCTV code of practice.

        Escalate all incidents and accidents in accordance with the agreed procedures on the Assignment Instructions.

        Act with integrity and professionalism at all times.

        Ensure the Control Room documentation is always kept updated, accurate and comprehensive. This includes the MyTAG Daily Occurrence Log (DOL)

        Ensure the Security Control Room is always clean and presentable.

        Ensure only those authorised enter the Security Control Room.

        All Duty Shift Managers to work as a team and ensure regular audits are completed pertaining to key management, lost and found, weekly checks and lockdown testing.

        Monthly audits of radios and ensuring post room and loading bay reports as well as health and safety paperwork is completed and signed off.

        Ensure patrol team are carrying out their patrols to a high standard and all fire exits are clear and any issues found are logged correctly and followed up.

        Ensure the external patrol officer is covering the outside areas and that there is full observation of the public and customer demises.

        To complete team members return to work reporting after sickness in the security supervisors absence and send to the security manager.

        Deal with complaints and queries effectively and with professionalism.

        Ensure written and verbal communications including radio communication is professional at all times.

        Set diary reminders for the security team with faux lockdown training and faux fire evacuation of the estate ensuring that training sheets are signed off and events are entered into the MyTAG system and reporting back to the security manager.

        Complete Tool Box Talks once delivered directly to you by the security manager with the wider security team and signed off via the training sheet.

        Assign and monitor specific tasks or patrols to security officers.

        Conduct regular briefings with the security team to update them on any new protocols, threats, or incidents.

        Assist the supervisor to provide training and guidance to new security officers.

        Lead by example, demonstrating professionalism, integrity, and a strong work ethic.

        Encourage continuous learning and professional development.

        Mediate and resolve conflicts or disputes among team members in a fair and effective manner.

        Foster a positive work environment where differences are respected and collaboration is encouraged.

        Act as a liaison between upper management and employees, conveying messages and ensuring alignment with organisational objectives.

        Conduct with the supervisor regular safety inspections and address any hazards or risks.

        Communicate changes effectively, addressing concerns and helping the team adapt smoothly.

        Any other reasonable duty allocated by the security manager to be followed.     

        To manage and deal in a calm manner with any level of emergency including dealing with managing fire alarm activations and the evacuation of the development.

        Ensure smooth run of the day-to-day operation in a highly demanding Security Control Room.

        Ensure the Loading Bay and Post Room operation documents are always accurate, this includes deliveries, bookings, and any other necessary registration sheets.

        Report to the supervisor or security manager any breach of the discipline code, this must be supported by written statement which should contain substantial evidence (such as presentation - uniform, timekeeping, general conduct)

        To carry out any additional tasks as requested by the supervisor or security manager or client.

  

The Successful applicant will require

 

        Minimum of 3 years' experience within a security environment.

        Supervisory/ Management experience.

        Practical experience of the application of emergency preparedness and emergency response procedures.

        Able to work under pressure and to tight deadlines.

        Computer literate in Microsoft Excel & Word.

        Familiar with Access Control & CCTV systems.
