Transport Planner Team Leader

Reporting directly to the Transport Manager, the Transport Planner Team Leader is responsible for overseeing a team of transport planners to ensure efficient and effective planning and scheduling of transportation activities.

This role requires a reliable and trustworthy individual with strong leadership and analytical skills, as well as industry knowledge, to optimise transportation operations and enhance customer satisfaction.

The ideal candidate will have experience working in a fast-paced transport office environment, with a proven ability to manage interactions with drivers and warehouse staff effectively. They will take charge with confidence, handle responsibilities efficiently, and possess excellent communication skills along with a no-nonsense approach to problem-solving.

Requirements

Key Responsibilities

•Day-to-day support of the Customer Service Supervisors and Customer Service team.

Project Planning

•Develop and manage daily routing plans, ensuring optimal performance and timely deliveries.

•Accurate and timely processing of orders for the warehouse operations teams to pick.

•Ensuring the most cost-effective delivery solution is selected on all occasions.

•Working with customer services and depots to manage issues, delivery costs and OTIF.

•Processing of orders to ensuring that all instructions are fully communicated & followed.

Communication

•Customer Emails: Monitor and clear issues from the Vans@ email inbox.

•Liaise with warehouse, purchasing, logistics and other teams to align on fulfilment and stock.

•WISMO/Phone Calls: Support customer enquiries via phone, collaborating with the CS team when necessary.

•Internal Communication: Update internal teams with the number of routes, drops, and PMOs; explore automation possibilities.

•Contact customers to rearrange failed deliveries and ensure a satisfactory resolution.

•Booking Deliveries: Confirm bookings with customers and ensure accurate scheduling.

•Customer Notifications: Manually schedule daily customer notifications through OptimoRoute.

•Customer Follow-up: Chase customers who have not replied or confirmed delivery, ensuring readiness for dispatch.

•Customer-Facing Damage Claims: Manage damage claims, liaising with customers and collating quotes for vehicle-related damages.

Leadership

•Lead and train members of the transport planning team, promoting a positive team environment and culture.

Reporting

•Ensure all reports are completed accurately and on time, supporting the Transport Planning Team’s KPIs.

Performance

•Team Performance: Ensure all aspects of the Transport Planners and Warehouse Admin roles covered and completed. This includes, but is not limited to; route plans, 3PL requests, customer update emails and phone calls covered.

•Routing Performance: Monitor and report on routing performance, identifying and implementing improvements.

•Promote sustainable transport solutions to reduce environmental impact.

Health and safety

•Health and Safety of yourself and others. To carry out all activities in a manner that promotes safety to yourself and your colleagues.

•Support Health and Safety Administration for the warehouse

•Ensure working area is always kept, safe, clean, and tidy.

•Potential risks, problems, or product defects are reported immediately to your manager.

•Using all equipment respectfully, safely, and as trained.

Performance Standards

•Promote and align yourself with the company standards.

•Reputation Management: Oversee review management and escalate complaints as necessary.

•Process Optimisation: Identify and implement process improvements to optimise customer experience and transport efficiency.

•Aged Debtors Management: Manage aged debtors and liaise with TLs and finance for resolution.

•Always show dignity and respect with customers, colleagues, drivers, and visitors.

•Speed, accuracy, reliability, and honesty.

•Data analysis & data entry. Very competent with spread sheets and CSV files, Optimorote and all other software platforms used by Leader Online.

•Working to follow all SOP’s.

•Check, count and accurately manage all documents and stock with due diligence.
