Job Purpose

An opportunity has arisen for a well-organised professional to join the Crick’s Academic Training Team to support the operation of the student programmes. The postholder will provide an efficient administration service and be a key point of contact to students, supervisors and Crick colleagues. Working as part of a supportive team, this is an ideal opportunity to develop experience in both HR Processes and in postgraduate training and career development programmes.

About the Role

The Francis Crick Institute’s Academic Training Team (ATT) forms part of the Crick’s People (Human Resource, HR) Directorate. The team is responsible for the management, development and operation of the Crick’s early career researcher training programmes, including the PhD, undergraduate student, and clinical fellow training programmes. It also oversees the appointment of visiting undergraduate, Masters and PhD students and clinical fellows who are hosted in Crick laboratories for limited periods of time. The Institute has approximately 200 PhD students across 4 years of study, up to 40 doctoral and postdoctoral clinical fellows, up to 10 sandwich students spending 1 year at the Crick and up to 20 summer students during July and August each year.

The Student Programmes Coordinator will report to the Student Operations Lead, and work alongside five other members of the student team. They will be a key point of contact for students, supervisors and other Crick staff, escalating issues to other members of the ATT where necessary. They will provide an efficient proactive administrative service, supporting the day-to-day delivery of the student programmes, working closely with the wider ATT and the People Hub Team.

Key Responsibilities

Develop and maintain a good understanding of Workday (our online employee resource platform) for the purposes of your daily role. Student administration on Workday; supporting the onboarding and induction of visiting students, and the onboarding, extension and leaver processes for Crick programme students and clinical fellows. Learning administration on Workday including setting up course offerings, logging and monitoring student attendance at training. Student programme administration; engagement monitoring, tracking and chasing completion of progress milestones and training Supporting student recruitment including assisting in preparing the website and recruitment systems for summer, sandwich, PhD and clinical fellow recruitment, and assisting in preparing advertising. Supporting student administration with the Crick’s university partners Clerking the Research Degrees Committee Helping respond to queries received via the shared Inboxes for the student programmes and student recruitment. Supporting the organisation and running of ATT events; e.g. induction programmes, student symposia and training events. Supporting the ATT in various areas of their work during busy periods.

Key Skills and Experience

To be successful in this role you will need to possess the following attributes:

Educated to degree level or equivalent, or have evidence of administrative or customer service work experience. Experience of working effectively in a busy administrative environment. Experience of working in a higher education or research environment, training or customer service. Experience of using Workday or other employee resource platform. Ability to multitask and deal with a busy workload. Good attention to detail. Good interpersonal skills with the ability to communicate effectively and work with a diverse range of people, including those for whom English is not the first language. Ability to work under own initiative and as part of a team. Proficient in Microsoft Office applications, ability to work with databases. Excellent oral and written communication skills. Knowledge of university programmes of study
