Job summary

There is more to our receptionist roles than answering the phone and making appointments. In this essential front-line role at Lister Medical Centre, receptionists help patients to access the right services, assist with keeping health records accurate and up-to-date, and ensure that appointment bookings are well-managed.

The hours are 30 per week Monday to Friday covering 2 shift patterns alternating.

Week 1: to Week 2: 1pm to 7pm

Some flexibility is required as you will sometimes need to work additional/alternative hours to cover for colleagues.

Main duties of the job

Ensure total familiarity with all appointment systems in effect including regular and incidental variations. Book appointments and recalls ensuring sufficient information is recorded to retrieve medical record. Monitor effectiveness of the system and report any problems or variations required. Utilise number system to ensure efficiency of appointment system and monitor flow of patients into consulting and treatment rooms. Ensure that the consulting rooms are checked at the end of each consulting session and left tidy and secure Ensure that the consulting rooms are prepared in readiness for each consulting session, checking the full range of forms and requirements and re-stocking as required (allocated clinician) Secure premises at end of day; ensure the building is totally secure. Open up premises at the start of day, make all necessary preparation to receive patients. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure registration procedures are completed on to computer. Advise patients of relevant charges for private services, accept payment and issue receipts for same. Respond to all queries and requests for assistance from patients and other visitors. Action requests for ambulance transportation and enter details in book. Ensure reception and waiting areas are kept neat and tidy. An ability to use own judgement, resourcefulness, common sense and local knowledge, to respond to patients enquiries and requests.

About us

We are a friendly, supportive, democratic, well organised and enthusiastic GMS Practice, dedicated to providing traditional family orientated General Practice based at a new purpose built single site health centre in Harlow. We currently have approx 20,000 patients, 5 Partners, 3 Salaried GPs, a large nursing support team and a vast array of administrative staff. We are a Training Practice and also Teaching Practice for Cambridge students. We are also a Research Practice.

We are consistent high achievement in all QOF and Enhanced Services areas with an innovative team structure with individual patient lists (around 2,500 per FTE GP).We operate the SystmOne computer system. We are active members of local GP federation and ICB.

Lister Medical Centre has easy access to M11/M25, is close to London and Stansted and attractive Essex and Hertfordshire countryside, there are excellent schools locally.

Essential

Ideally previous medical / healthcare receptionist experience or equivalent You will have excellent communication skills with a clear and polite telephone manner. You will work in a polite, confidential, and discreet manner, respecting patients at all times.

Qualifications

Essential

Good standard of general education with a minimum GCSE Grade C in English and Maths, or equivalent.
