Hours: Monday to Friday, 8:00 am – 5:30 pm (30-minute lunch break)
About Us:
We are seeking a highly organized and proactive Fleet Coordinator to join our team. In this role, you will be responsible for managing the flow of vehicles on-site, ensuring that all vehicles are received, inspected, and prepared for delivery to our customers. You will play a crucial role in maintaining smooth operations and liaising with both the office and workshop teams.
Key Responsibilities:
- Receive and sign off on all customer vehicles upon arrival, promptly notifying the office via our WhatsApp group network.
- Access and update the ‘Smartsheet’ TVH spreadsheet to track vehicles on site, coordinating with the office on any changes (training provided).
- Complete and distribute necessary paperwork, including Vehicle Inspection Forms on delivery and TVH Checklists on collection, ensuring all paperwork is submitted to the office.
- Conduct full Quality Control and Safety sign-off checks on all vehicles before they leave the site, ensuring all documentation is properly completed and delivered.
- Manage all customer vehicle keys on-site, maintaining a detailed sign-in/sign-out spreadsheet for all fitters and subcontractors.
- Coordinate with the Workshop Team Leader regarding vehicle movements in and out of the building for daily build slots.
- Ensure all vehicles are parked and locked securely at the close of each day.
- Monitor the electric range of all electric vehicles on-site, conducting a ‘fit to drive’ check at least two days before collection to avoid delays. This includes checking ancillary battery health.
- Manage the receipt and storage of all goods in and out, informing Production or Office teams as needed.
- Attend weekly and monthly production meetings as required to arrange site logistics.
Qualifications and Skills:
- Strong organizational skills are essential.
- Experience in a similar role within a fast-paced environment is preferred.
- Ability to manage multiple tasks and prioritize effectively.
- Strong communication skills and the ability to work well within a team.
- Attention to detail and a commitment to quality control.
- Proficiency with basic computer programs; training for specific software will be provided.
