This is an exciting opportunity for an experienced and skilled individual to join the Faculty of Mathematics professional service team as Postgraduate Office Manager. The successful candidate will be responsible for leading a team of dedicated administrators whose focus is on the delivery of high-quality support for all aspects of postgraduate education. This post is offered on a fixed-term basis for 12 months or until the return of the post holder, whichever is the sooner.

At postgraduate level the Faculty of Mathematics currently offers two doctoral (PhD) programs, two MPhil programs and Part III of the Mathematical Tripos (MMath/MASt). The work of the Postgraduate Office covers all aspects of the student journey from recruitment and application, through support for course delivery and current students, to examination and award of degree. The range and scale of operational activity (~570 current students, ~1900 applications processed and ~50 PhDs examined in 22/23) and the people-facing nature of this work, make for a busy and varied workload. The appointed candidate will be required to develop an in-depth understanding of all aspects of operations so they can support and successfully lead the Postgraduate Office team.

Working closely with the Faculty's Deputy Departmental Administrator (Education) the Postgraduate Office Manager assists in the conversion of postgraduate policy into procedure, embeds administrative best practice in all areas, and supports the Faculty in responding to change as it occurs. The role holder is expected to proactively line manage the Postgraduate Office team and the day-to-day activity of the office. They have responsibility for the development of working practices and for the development of individuals and the quality of the work that is delivered.

In addition, the Postgraduate Office Manager provides direct support to the Secretary to the Degree Committee and has delegated responsibility for the day-to-day fulfilment of many Degree Committee functions. The role holder provides advice and support to the postgraduate Directors of Education and Course Directors and engages with supervisors and other academic staff on a regular basis.

The Postgraduate Office is one of several shared services that support both the Department of Applied Mathematics and Theoretical Physics and the Department of Pure Mathematics & Mathematical Statistics, the others being IT, HR, Facilities, and the Undergraduate Office. The Postgraduate Office team works closely with all other shared service teams, the two separate Departmental finance teams, as well as many offices and individuals across the collegiate University.

You will have:

experience of first line management, ideally management of a small administrative team;

the ability to successfully co-ordinate a diverse and busy workload, and to plan and organise your own work whilst directing the work of others;

excellent interpersonal and communication skills, along with the ability to build and maintain co-operative relationships at all levels;

the ability to thrive in a team environment and possess the skills needed to interact with a range of professional service staff, administrators, academics and postgraduate students (both current and prospective).

Experience of higher education administration and in particular postgraduate admissions and funding would be an advantage.
