Key Purpose

Responsible for providing an efficient and friendly service to visitors, dealing with enquiries on the phone, face to face and by email always providing a high level of customer service. Supporting the CEO and Senior Leadership team with administration, meetings and travel bookings.

Key Duties and Responsibilities

Providing a front of house service by being the first point of contact for all incoming communications from employees, customers and the public including answering the main switchboard and redirecting calls where necessary. Receiving, sorting, and distributing daily mail/deliveries, franking, and collecting mail ready for end of day collection. Ordering office stationery and kitchen goods, completing weekly stock takes to ensure required supplies are ordered. Arranging catering for all training, meetings and in house events using local catering firms. Presenting food to visitors ensuring that all Health and Safety standards are met. Performing ad-hoc administration duties for the CEO and Senior Leadership Team when required. Liaising with cleaning contractors to ensure the building is always kept clean, providing monthly feedback to contractors. Support with invoicing through Oracle. Booking and managing the Company’s travel, ensuring all bookings are in line with corporate policy and budget expectations. Managing corporate hotel contracts in line with company requirements including hotel rates negotiation and service standards, researching new hotels where required. Managing the car hire process, booking car hire for all employees for the UK and overseas as required, liaising with employees and car hire providers directly to ensure vehicles are returned in good condition and any issues such as damage and fines are identified and communicated. Supporting all meetings and training activities, organising bookings for meetings in the Visitors Suites or external conference rooms, providing refreshments where required. Checking and supplying all monthly invoices for the reception credit card in a timely manner.

Person Specification (Skills, Experience, Qualifications, Attributes)

Essential:

Experience of working in a customer facing role. An excellent communicator committed to delivering a high level of customer service at all times. Excellent organisational and time management skills. Ability to use Microsoft Office 365 (Word, PowerPoint, Excel, Teams) effectively and efficiently. High level of negotiation skills to ensure best value contracts and services for the business. Ability to be an excellent team player and the ability to work under pressure in a fast-paced environment. Good attention to detail. Well presented at all times.

Desirable:

Experience of Oracle.
