Job summary

The Respiratory Nursing Team are looking to recruit a new Secretary to help with the administration of the service.

We have 15 hours per week available at Worcestershire Royal Hospital.

Main duties of the job

Ideally, you will have previous medical secretary and administrative experience, preferably within health care environment.

It is essential you have strong IT skills, excellent communication, interpersonal and organisational skills. It is important that you are flexible and able to act on your own initiative. Being able to work to deadlines while maintaining a positive and enthusiastic manner is key.

Job responsibilities

Key Responsibilities:

Tosupport the Respiratory Nursing team with administration and audio typing ofclinic letters

JOBDESCRIPTION:

1. To assist with the sorting of the dayto day incoming mail, emails and phones, taking action or referring back to the nursing team,where necessary.

2. To undertake medical audio/copytyping duties, including outpatient letters to GPs andother official correspondence.

3.To accept enquiries from clinicians, GPs Health Serviceand Social Services personnel, other hospitals, voluntary agencies, patientsand their relatives. Patient contact bytelephone is an integral part of the basic role. To deal with these enquiriesor refer back to the Nursing team where necessary.

4. To ensure that patient case notes areas up-to-date and accurate by actively participating in the filing of patientrelated documentation at the earliest opportunity.

5. To participate in the use of the PASsystem to establish patient information and produce patient documentation asrequired.

6. To undertake any photocopying andcollation as required.

7. To monitor the Envoy SMS service, actioningpatient cancelations and rebookings

8. To book patient appointments on PAS, sendingany letters which are needed to patient

9. To undertake any other duties as may berequired/appropriate by the Respiratory Nursing team

Personal Qualities

Essential

Excellent verbal and written communication skills. Flexible and adaptable. Able to work under pressure. Ability to work under own initiative and part of a team.

Qualifications

Essential

GCSE English & Maths Recognised word processing/typing qualification

Desirable

Shorthand qualification. AMSPAR qualification.

Experience

Essential

Proven secretarial experience. Experience of working in a busy office.

Desirable

NHS experience. Use of OASIS PAS system. Medical secretarial experience.

Skills/ Knowledge

Essential

Audio typing. In-depth working knowledge of Microsoft Office.

Desirable

Knowledge of NHS systems.
