Key Areas of ResponsibilityBid/Tender Coordination
- Monitor various tender portals and identify potential opportunities for the practice to consider.
- Coordinate the bid process, identify and track bid deliverables, coordinate bid submission requirements, track progress, and provide quality support to the Director leading particular bids.
- Manage multiple bids concurrently.
- Actively work to enhance the quality of bids and tender submissions in collaboration with the Director leading the bid and our graphics and marketing support team.
- Effectively coordinate and lead, bid team contributors input.
- Input from contributors received in accordance with the bid content and programme.
- Provide creative ideas and initiatives into bids. Fresh, clear thinking and bid input.
- Ensure bid/tender success/conversion rate improves year on year.
- Completion of high quality and accurate pre-qualification submissions for UK and Ireland based opportunities.
- Manage and produce accurate, well presented bid documentation for tenders.
- Input into clear effective client presentations.
- Assist with the development of bidding strategy and delivery processes based on continual improvement including capturing of benefits and added value.
- Facilitate communication during and after bids are submitted.
- Understand and address stakeholders' needs, identify Client needs and expectations and strive to deliver them.
- Ensure company information, bid related collateral, CV’s and project information is up to date and relevant.
- Compliance with integrated management system (QA/H&S/Environmental)
- Research frameworks/bid and tender opportunities/identification of strategic alliances – home and export market.
Essential & Desirable Criteria
Proven experience of:
- Coordinating the bid process (at least 3 years experience), preferably within a construction background.
- Using Microsoft suite of Office programmes; including Word, Excel, Outlook and PowerPoint.
- Using Adobe InDesign.
- Using Adobe Photoshop.
- Coordinating the bid team.
- Writing effective bid submissions.
- Meeting and working with bid contributors and managing the bid team towards deadlines.
- Active involvement in client team meetings
- Building effective relationships at all levels
- Specific and varied experience of developing market opportunities
- Excellent demonstrable standard of written and spoken English.
- Preferable degree level education.
- Proven ability in compiling clear, concise and timely reports with excellent written skills and, attention to detail
- Demonstrated understanding of benchmarking processes and sources of information.
- Proven ability to research and schedule relevant reward initiatives/programs.
