Job summary

The Medical Secretary is a memberof the Administration Team, assisting in the processing of referrals from theclinical staff across all HLMG sites.

Toprovide comprehensive support to the clinical staff in the receipt andpreparation of referrals for our patients and work closely with the clinicalteams.

Tobe the main point of contact for enquires regarding new and existing referralsfrom patients, clinical and non-clinical staff.

Thepost holder will be responsible for text construction.

Thepost holder must be flexible and able to support duties of other members teamsas and when required.

Main duties of the job

Provide comprehensive medicalsecretarial support to all staff across all HLMG sites.

Ensure all referrals fromthe clinician are grammatically correct and where needed amend for consistency.

Process referrals within atimely manner ensuring suspected cancer referrals and urgent referrals areprocessed as a priority.

Process referrals correctlythrough the eRS system ensuring the most appropriate pathway is selected for thepatient needs the correct speciality and the soonest appointment.

Expedite urgent referralsto help ensure a safe and responsive service for patients at the request of theclinician.

Manage all eRS worklists ona daily basis to ensure any queries and rejections are actioned accordingly.

Liaise with secondary careand other providers to chase clinic letters or results to support patient care.This may include retrieving documents from the care portal.

Resolvepatient queries in a courteous, timely and efficient manner with the ability tosupport individual patient needs.

Producetyped documents when required letters to patients, coroner reports.

Managethe Email accounts ensuring every Email is actioned appropriately and in a timelymanner.

Job responsibilities

Under the general directionof the Administration Manager, the medical secretary will be expected to undertakethe following responsibilities:

Provide comprehensive medicalsecretarial support to all staff across all HLMG sites.

Ensure all referrals fromthe clinician is grammatically correct and where needed amend for consistency.

Process referrals within atimely manner ensuring suspected cancer referrals and urgent referrals areprocessed as a priority.

Process referrals correctlythrough the eRS system ensuring the most appropriate pathway is selected for thepatient needs the correct speciality and the soonest appointment.

Ensure all advice and guidancerequests are grammatically correct and processed correctly through the eRSsystem in a timely manner.

Ensure all advice andguidance responses from secondary care are passed to the clinical staff in a timelymanner.

Expedite urgent referralsto help ensure a safe and responsive service for patients at the request of theclinician.

Manage all eRS worklists ona daily basis to ensure any queries and rejections are actioned accordingly.

Tobe aware of referral and funding criteria and updates to ensure the correctprocess is being followed and distributing referral updates to the clinicalstaff.

Toattend the Countywide e-RS/ Practice User Group meetings when scheduled.(Usually a monthly basis)

Tocheck the Primary Care Intranet regularly for updates.

Liaise with secondary careand other providers to chase clinic letters or results to support patient care.This may include retrieving documents from the care portal.

Liaisewith secondary care and other providers regarding new or existing referrals andany other queries.

Resolvepatient queries in a courteous, timely and efficient manner with the ability tosupport individual patient needs. This can be via telephone, Email, letter or faceto face.

Producetyped documents when required letters to patients, coroner reports.

Actionany documents accordingly that are assigned to the secretary group in a timelymanner.

Managethe Email accounts ensuring every Email is actioned appropriately and in a timelymanner.

Ensure external mail isposted daily and arrange recorded delivery when necessary.

Assist with training for newstaff or less experienced staff by demonstrating own activities and processesin the service.

To work flexibly to ensurethat tasks are carried out appropriately and efficiently, including a willingnessto provide cover for absent colleagues.

Report any areas of concernsto the Administration Manager immediately.

To undertake any other tasks commensuratewith the post.

To complete mandatorytraining.

To adhere to HLMG policiesand procedures including maintaining confidentiality and discretion.

Essential
