Job summary

The E-Rosteringteam administer the the Allocate Optima (HealthRoster) system. They support all rosters across the Trust ,which allows staff to access their shifts and working patterns, book annualleave and the system records additional payments such as enhancements andovertime.

TheHealthRoster system also allows for the recording of bank holidays, studyleave, sickness and other absences.

The payaffecting data recorded on the HealthRoster system is uploaded to the ESR(Electronic Staff Record) system which is administered by the Workforce Payrollteam, with whom the E-Rostering team work closely with.

Both theE-Rostering and Workforce Payroll team work to ensure that both theHealthRoster and ESR systems are aligned to ensure data quality.

Main duties of the job

1/. Inputting information into HealthRosterand ESR as required ensuing high degrees of accuracy.

2/. To work closely with the E-Roster team,helping staff with general E-Roster queries.

3/. Toanswer the telephone and deal with queries/requests, taking detailed messagesfor team members.

4/. Tomonitor the group email addresses and issue/reset passwords for Employee Onlineaccess, and to update user accounts as required.

5/. Towork with the E-Rostering team to assist with data cleanse issues on HealthRoster or related system.

6/. To work with the wider Workforce Team onESR or related systems.

7/. To input data in the appropriatedatabase, producing reports and spreadsheets.

8/. To support with the administration ofE-Roster training and subsequent records.

9/. Toassist in arranging meetings and training sessions, including associatedarrangements and booking rooms.

10/. To undertaken photocopying and scanningfor team members.

11/. To assist in the maintenance ofdepartmental records including archiving and scanning.

12/. Toprovide administration and clerical support to the E-Rostering and WorkforceInformation teams, in the delivery of HR functions and services.

Toprovide administrative cover to other departments managed by the Head ofWorkforce systems when necessary, Workforce Payroll or Workforce Systemsteams.
