Apex Talent Recruitment is a leading recruitment firm specialising in the real estate industry. We are currently seeking a highly organised and detail-oriented Executive PA to join our client's team. As an Executive PA, you will provide comprehensive support to the Chief Executive and play a crucial role in ensuring the smooth operation of his daily business activities.


Responsibilities
  • Managing complex calendars, scheduling meetings, and coordinating travel arrangements
  • Actively participating in meetings, taking detailed minutes, and following up on action items
  • Handling sensitive and confidential information with the utmost professionalism and discretion
  • Conducting research and preparing reports, presentations, and correspondence
  • Screening and directing phone calls and emails, responding promptly and efficiently
  • Collaborating with cross-functional teams, ensuring effective communication and timely follow-up
  • Assisting in the preparation of board meeting documentation
  • Managing and organising files, documents, and records
  • Coordinating special projects and events, both internally and externally
  • Providing general administrative support to the executive team as needed

Requirements

  • A minimum of 3 years of experience as an Executive PA or in a similar role
  • Strong organisational and multitasking skills, with the ability to prioritise effectively
  • Excellent written and verbal communication skills, with a keen eye for detail
  • Proficient in Microsoft Office Suite and other relevant software
  • Proven ability to work well under pressure and meet tight deadlines
  • Exceptional problem-solving skills and a proactive approach to work
  • Strong interpersonal skills and the ability to build and maintain relationships
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
  • Knowledge of the real estate industry not required, as long as you have an inquisitive mind
  • Manage a Junior Business Assistant
  • Able to work from the office full time Monday-Friday
  • A career-oriented individual
  • Can demonstrate commitment and being readily available for the CEO as required, including probable out of hours calls and work (inclusive of weekends)
  • Highly presentable and polished
  • Bachelor's degree, but not mandatory
