Job summary

Due to a growing patient list we are expanding our team and wehave an exciting opportunity to join us in a new role of Management SupportAdministrator.

We are looking for an enthusiastic person with great organisationalskills to coordinate the premises maintenance requirements, support withinformation governance compliance and support with health and safetyrequirements. The role will be part of our Business SupportTeam.

This is a part time role, working 24 hours per week.

Main duties of the job

To support with ensuring timelycompletion of the annual Information Governance Toolkit. To support the Business SupportManager regarding information governance processes within the practice,ensuring compliance with national and NHS regulations. Provide support to practice staff onensuring compliance with information governance. To be responsible on a day-to-daybasis for premises maintenance and servicing requirements, ensuring that thepractice is compliant with all servicing regulations. To be the main contact for anycontractors attending the premises. To be responsible for the maintenanceand monitoring of asset registers, ensuring compliance with servicingregulations. To support the management team withhealth and safety within the practice, ensuring adherence to nationalregulations and supporting with audits, assessments and implementation ofchanges within the practice. To ensure a safe working environmentby completing annual health & safety risk assessments and providing adviceand guidance as necessary. To ensure a safe working environmentby completing annual fire safety risk assessments and providing advice andguidance as necessary. To support the management team withprojects, including information gathering, production of reports andstatistical summaries.

About us

Darwin Medical Practice has a team of over 100 staff andprovides care to over 23,000 patients. The practice has 3 branches andmany staff work at multiple branches.Patients can attend any of the branches depending on their preferredlocation or preferred availability.

This role will report to our Business Support Manager andwill be based at Greenwood Health Centre, new purpose built premises inBurntwood, which is our main site.

The wider practice ethos is to provide excellent care to ourpatients, showing respect to both patients and our colleagues. All teams meet regularly to discuss updates,share training and changes to processes but we also have whole practicesessions to ensure that everyone is informed about practice developments andhas chance to meet others that they would not usually see.

Job Purpose

The role of the Management Support Administrator is to support the management team to ensure compliance with premises maintenance, Information Governance and health and safety across the practice.

Principal Accountabilities

To support with ensuring timely completion of the annual Information Governance Toolkit.

To support the Business Support Manager regarding information governance processes within the practice, ensuring compliance with national and NHS regulations.

Provide support to practice staff on ensuring compliance with information governance.

To be responsible on a day-to-day basis for premises maintenance and servicing requirements, ensuring that the practice is compliant with all servicing regulations.

To be the main contact for any contractors attending the premises.

To be responsible for the maintenance and monitoring of asset registers, ensuring compliance with servicing regulations.

To support the management team with health and safety within the practice, ensuring adherence to national regulations and supporting with audits, assessments and implementation of changes within the practice.

To ensure a safe working environment by completing annual health & safety risk assessments and providing advice and guidance as necessary.

To ensure a safe working environment by completing annual fire safety risk assessments and providing advice and guidance as necessary.

To support the management team with projects, including information gathering, production of reports and statistical summaries.

Any other duties as required, commensurate with the grade.

The Practice is open from until , with regular extended hours surgeries. This role will have fixed working hours but all staff are expected to support the practice by working flexibly in exceptional circumstances, according to the needs of the service.
