Job summary

We are looking for a substantive ( hours per week) Medical HR Administratorto join our Medical Personnel team based at Wonford House, in Exeter -we arecurrently working in a hybrid approach; partially at the office and partially from home to meet theservice needs.

The role is an integral part of the team providingappropriate and informed high quality support and guidance which relates to arange of Medical Personnel HR issues and in particular recruitment; ensuring that all advice is in line with Medical Personnel Departmentprocedures, Trust policy and legislation.

You will be responsible for providing a comprehensive administrativesupport service to the Medical Personnel team and wider Medical Workforce whichincludes senior managers and clinicians. The post holder should be able to workefficiently, without direct supervision and managetheir own workload effectively.

Main duties of the job

Duties and Responsibilitiesinclude:

To work in close co-operation with the team to provideadministrative support in a range of duties which will require secretarialsupport to the Medical Workforce Lead, maintaining confidentiality at alltimes. To provide, receive andco-ordinate information in relation to recruitment processes for medical staffincluding doctors in training. To process and record annual andstudy leave applications for all medical staff and maintain records, providinginformation as required. To provide comprehensive team inboxmanagement and filing for multiple inboxes To attend and take notes, actionpoints and/or minutes at meetings and interviews such as recruitment panels,award committees and disciplinary hearings. To develop and maintain a high level of skill and knowledgein IM&T software packages which should include Microsoft Office, Internetand Intranet use and web-based packages to include ESR, To meet tight deadlines, collate accurate data andmaintain standards relating to administrative processes.

Qualifications

Essential

Educated to GCSE standard (or equivalent) in English and Maths

Desirable

IT qualification, for example ECDL or relevant working knowledge and experience CIPD qualification or equivalent.

Experience

Essential

Recent experience of working in an administrative role in a busy office Experience of maintaining databases/spreadsheets Experience of dealing with all levels of staff within a large organisation both on the telephone and in person Experience of using systems to extract information and interpret the information in an easy read format Experience of working without supervision and initiating own workload

Desirable

Experience in working with NHS terms and conditions. Experience working with Medical Personnel.

Knowledge

Essential

Proficient in the use of Microsoft Office, packages Outlook, Word and Excel

Desirable

Knowledge of NHS systems ESR Knowledge and awareness of recruitment processes and policies

Can demonstrate a high level of IM&T skills and competencies in all of the software packages within Microsoft Office including Excel, Word and Access. Accurate data inputting. Attention to detail Self-starter with proactive and flexible approach Creative and imaginative in approach Willingness to learn new systems Ability to treat all employees and other hospital information confidentially.
