The Chlamydia Screening & Home Sampling Data Administrator role sits within the Chlamydia Screening Team, which delivers the National Chlamydia Screening Programme (NCSP) locally, the Brighton & Hove Home STI testing service for all local residents and the Sexual Health Promotion aims for Under 25’s across the city. The team is embedded in the Sexual Health and Contraception service (SHAC) in Brighton and Hove, based at the Royal Sussex County Hospital.

Main duties of the job

The Chlamydia Screening & Home Sampling Data Administrator role is crucial in evidencing delivery on Key Performance Indicators for local commissioning and informing service design, delivery and improvements. Main duties include delivery of the online testing service including results management, management of the cities Vending machine stock and data, reporting on use of the eC-Card scheme, partnership working with local pharmacies and data reporting for the Chlamydia Screening Programme and the Home Sampling service.

The successful candidate will be experienced in data analysis, demonstrating an ability to understand trends and inform practice, through exceptional IT and analytical skills.

Detailed job description and main responsibilities

Main Duties and Responsibilities
Communication

To contact patients by phone/ text/ letter notifying them of CSP positive results following outreach or home-sample screening and arranging follow up treatment appointments To be involved in communication updates regarding the SHAC service to the wider community via a range of media including the SHAC website and Twitter or other digital media as required. To provide and receive highly sensitive patient information Present complex information clearly to colleagues at all levels Communicate data to the Programme Lead and wider clinic team to help with patient flow and access To respond to and record telephone calls from patients and the general public regarding treatment and other general enquires regarding service provision and opening times. To take calls from health professionals and other departments, recording relevant patient information and passing messages to the relevant member of the multidisciplinary team as appropriate. To respond calmly, empathetically and professionally to emotionally charged calls from angry and sometimes highly stressed patients regarding test results or attendance of partners. Communication with health professionals in other agencies, locally and nationally regarding service provision and potential patient referral. To attend a range of internal and external meetings as required To work closely with the data team to ensure monthly reports are accurate and informative and disseminated to the wider clinic to inform service development.

Service Delivery and Improvement

Make suggestions to the team and CSP lead regarding improvements to the current systems where they are identified. To be responsible for CSP and home-sampling data reporting, creating documents and reports, supplying data as requested by the Team Lead. Monitoring data to highlight trends inform practice and demonstrate progress. To actively promote and monitor the performance of the CSP and Home-sampling service and suggest innovative practice to improve service delivery and efficiency To lead and oversee Vending machine testing kit stock levels, communicate with key partners on site and ensure delivery of kits is received. Lead on test kit development, sourcing materials and promotion activity. To be familiar with the Vendlive platform to monitor vending machine activity. Provide data on use of vending machines and returns as required Oversee PrEP home-sampling service, ensuring test kits are sent out. Monitor data, feedback and evaluate. To lead and develop the Routine Recall 3 month re-test pathway to improve uptake of repeat screening amongst high risk patients as per QOI targets. Monitor and evaluate through data, and provide annual reports summaries To lead, manage & review the Partner Notification processes, informing practice with data and seeking improvements to maximise effectiveness, evaluate improvements through data and provide annual report summaries To lead on the management of the results and recall systems and keep the CSP and home-sampling lead/ Multi-disciplinary Team/ BSUH laboratory/ other laboratory service providers appraised of any problems or backlogs developing To monitor turnaround times (TAT) for results to ensure meeting QOI targets To be responsible for ensuring the Electronic Patient Record (EPR) system continues to evolve in line with service requirements. To have responsibility for creating weekly staff task rota on a rotational basis and highlighting any shortfalls in cover with the CSP Lead. Ensure all outreach & home-sampling admin tasks are completed and sufficient packs have been made to allow for smooth service delivery To assist with patient data collection by the development of databases and spread sheets. Work collaboratively with the Recall Health Advisors to ensure a joined up approach to results management across the service and support delivery across teams when required To task manage administrators processing recalls and positive results, and provide information on procedures to the wider Integrated Service Team to ensure the highest compliance with policies and procedures and local guidance. To lead and manage daily positive STI results list and its associated interpretation and administration including continual review and development of the patient positive results and recall system to promote maximum efficiency Co-ordinate meetings, appointments and teaching sessions To co-ordinate interpreters for patients attending for appointments where appropriate. To order health resources through IPROC systems, such as patient information leaflets; condoms and training materials within stock budget as required To attend outreach events such as Fresher’s fair in conjunction with the Health Promotion Specialist. To assist with patient data collection by the development of databases and spread sheets. To contribute to data audits as requested by CSP Lead.

People Management and Development

To co-ordinate and manage new and junior staff with regard to teaching the results and recall elements of the role To be responsible for the training, assessment and sign off of competency based practice for new team members and staff rotating into the CSP and home-sampling team To take lead responsibility for the safety checks (verification checks) that ensure all patients positive results reported by the Laboratory have been appropriately actioned. Uphold professional standards and act as advocate for the Department. Maintain a highly organised office environment to maintain confidentiality and data protection and set office standards for the team. To work as an effective and responsive team member, arriving promptly and working effectively during agreed hours. To support other team members taking a shared approach to team work. Assist other teams with administrative duties where workload allows and with prior agreement of the CSP Team lead To attend CSP and home-sampling meetings where issues relevant to this role are being discussed. Able to work autonomously within the framework of SHAC service and Trust policies and guidelines to meet targets and deadlines as agreed with line manager. Responsible for recruitment, staff performance appraisals and the application of the grievance and disciplinary procedures. To line manage the Band 3 Administrators which will include taking responsibility for induction and appraisals and training of new staff and co-ordinate and reporting on annual leave /sick leave on a monthly basis. Co-ordinate, book and record attendance of annual statutory training for Administrators

Patient Care Delivery

To provide diagnosis and information to patients over the telephone and to deal with the complexities that may subsequently arise from these in a sensitive and empathetic manner. To facilitate discussion with patients when giving diagnosis and have the ability to answer questions patients may have regarding the impact of their diagnosis. To make sound decisions around recalling patients and ensure the best course of action in facilitating the prompt treatment of patients. To be responsible for documenting patient care on EPR and clearly recording actions taken on a daily basis To ensure maintenance of partner notification records To take a lead role in the follow up of partner notification conversations with patients in the recall system and to use SXT digital partner notification tool as necessary. To provide advice and information to patients over the telephone relating to their results, symptoms and questions relating to their care To give basic contraceptive advice including emergency contraception assessment on the telephone within the scope of own competencies and advise appropriately and/or book into appropriate clinic. To contact designated patients to ascertain compliance to treatment regimens and ensure relevant partners have been seen and treated. To maintain detailed and accurate records (manual and electronic) that are consistent with legislation, policies and procedure, regarding interventions and advice given.
