Job summary

We have a fantastic opportunity for covering maternity leave for a 6 month period.

We are a friendly team and work hard to support patient and professionals within our service. You will be taken calls, updating confidential information and inputting referrals using NHS systems, booking appointments, and supporting clinical staff with admin functions for onward referrals. Other duties include supporting management with admin request and taking minutes for the team meetings, data collection and support with auditing.

We are flexible and balance working from home and the office. We have a fantastic pension scheme and good annual leave entitlements. We are a menopausal friendly team and can offer training, support and encouragement for all staff to develop other skills further within the trust.

Main duties of the job

DUTIES AND RESPONSIBILITIESClinical SupportProvide accurate, prompt and efficient secretarial/administrative support to the clinical multidisciplinary team which may include electronic systems to input and access information as with and process all types of patient referrals liaising directly with General Practitioners, Clinical staff including medical staff from other with clinical team members in relation to urgent referrals.Provide non-clinical information to patients and families, where necessary, including cancellation of and process minutes for teams (across the Locality).Deal with correspondence and communication liaising, prioritising and co-ordinating with the clinical with telephone calls and general enquiries and maintain an efficient message system coordinating with team in a professional manner with each member of the team, providing relevant information.Maintain a clear code of conduct and high standards of customer service in terms of dignity, respect and excellent customer service to all internal and external customers.Service DevelopmentParticipate in ongoing audits and service development as directed by Line

Knowledge & TrainingProvide training to administration staff as identified by line manager.Maintain own professional development portfolio and participate in appropriate training programmes.

Diary tasks as required for team members to include , managing calls, booking assessments, referral inputting on to systems and sending letters out to professionals and patients .

Ensure confidential information is retained and stored in line with Trust policy in an efficient and effective manner.

Minute taken to internal/external meetings relevant to the post as delegated by the line manager..

Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at intermediate level.

Understanding and experience in a full range of secretarial procedures and systems gained through practice at intermediate level. Working under pressure
