The Role


We are looking for a driven, reliable, and experienced Office Assistant to support our next phase of growth. You will be working from our Manchester HQ. If you are looking for a new and exciting adventure with a fast-growing Legal Tech scale up, this is the role for you


As the company grows, we will support you in your career with tailored mentoring and progression opportunities. You will be given responsibility and autonomy in equal measure from the outset. You will be the ‘go to’ person responsible for providing administrative support to finance, the senior leadership team and to ensure efficient operation of the office.


  • Processing monthly purchase ledger invoices and arranging appropriate approvals in line with our travel and expenditure policy.
  • Processing credit card and cash expenses
  • Maintain office supplies by checking, ordering and refilling office refreshments and stationery.
  • Coordinate travel arrangements and bookings for colleagues when necessary.
  • Ensure office equipment is properly maintained and troubleshoot any issues that may arise.
  • Greet and assist visitors in a professional and courteous manner
  • Answer and direct phone calls to the appropriate parties
  • Manage relationship with our outsourced IT contractor, cleaning company and other office suppliers.
  • Handle incoming and outgoing mail and packages, including sorting, distributing, and preparing shipments.
  • Maintain a clean and organised office environment including regular checks.
  • Reporting any facility related issues to landlord or suppliers
  • Arranging for meetings by reserving rooms / venues and securing refreshments.
  • Assisting onboarding of new starters, ordering access cards, flights, induction schedules and ordering of equipment etc.
  • Assisting the marketing team with arranging quarterly internal events in the UK and Boston & handling internal communication.
  • Organising ad-hoc office and culture activities.
  • Organize and maintain physical and digital files, including scanning, filing, and shredding documents as necessary.
  • Other administrative duties as required.


Requirements


  • Proven experience as an office assistant, administrative assistant, or relevant role +1 year
  • Excellent oral, written, communication, and interpersonal skills
  • Competent with Microsoft Office tools including Excel, Word, Teams, PowerPoint
  • Thorough attention to detail
  • Confidence in decision-making
  • Self-motivated, proactive, positive attitude
  • A flexible, can-do attitude with strong organisational skills
  • Ability to prioritize tasks and work under pressure.
  • Xero experience an advantage
