Job Overview

Support the Operations team in relation to all aspects of administration, logistics and customer service to ensure the smooth running of the Survey Division. Focal point for any general queries relating to the Systems Aberdeen business.

Main Purpose of the Role:

  • Responsible for ensuring a high level of support to all clients via all modes of communication and building professional relationships.
  • Assist with the preparation of quotations.
  • Raising, checking and tracking of all sales orders and hire jobs from point of order until equipment return.
  • Accurate and timely processing of paperwork to ensure effective tracking of all hire equipment.
  • Liaise with warehouse to promptly close out any issues relating to receipt/despatch.
  • Organise despatch of all deliveries, raising all required documentation including customs/export control requirements and liaise with couriers/freight forwarders as required.
  • Upkeep of all customs/export control records.
  • Liaise with couriers/freight forwarders regarding return equipment shipments and imports.
  • Liaise with finance department on client invoicing.
  • Assist in the day to day running of the office.
  • Demonstrate an active commitment to QHSSE, including compliance with QHSSE Policies, and supporting documentation contained within the IMS, as well as adhering to and reporting to management on all aspects of the QHSSE Management System.
  • STOP an activity, at any time, if believed to be unsafe or failing to meet the relevant QHSSE requirements

Person Specification

Education/Qualifications:

  • National 4 and/or 5 qualifications

Knowledge, Skills and Experience:

  • Proficient IT skills with a good working knowledge of Microsoft Office packages
  • Use of ERP systems
  • Experience working in a similar type of role

Competencies/Behaviours:

  • Well organised and good attention to detail.
  • Ability to manage multiple tasks and priorities
  • Good communication skills
  • Ability to work on own initiative and as part of a team
  • Interest in planning and problem solving.
  • Knowledge of customs and export control requirements
