Key Responsibilities

Event Planning and Strategy:

  • Develop and execute a comprehensive event strategy that supports the organisation's goals and objectives.
  • Collaborate with the Director of Events and Partnerships and senior management to identify event opportunities and align them with business strategies.
  • Create detailed event plans, including timelines, budgets, and resource allocation.


Event Coordination:

  • Coordinate all logistical aspects of events, including venue selection, catering, transportation, and accommodation.
  • Manage event registration processes, including attendee tracking, communication, and follow-up.
  • Oversee the creation and distribution of event materials, such as invitations, agendas, and promotional items.


Vendor and Stakeholder Management:

  • Build and maintain relationships with vendors, partners, and stakeholders to ensure high-quality event execution.
  • Negotiate contracts with venues, suppliers, and service providers to secure the best possible terms.
  • Ensure compliance with all legal, health, and safety requirements.


Budget Management:

  • Develop and manage event budgets, ensuring all events are delivered within financial constraints.
  • Monitor and report on event expenses and financial performance.


Marketing and Promotion:

  • Work with the marketing team to develop and implement promotional strategies to drive event attendance and engagement.
  • Utilize various marketing channels, including social media, email campaigns, and print materials, to promote events.
  • Analyse and report on the effectiveness of marketing efforts and suggest improvements.


On-site Event Management:

  • Oversee all on-site event activities, including setup, execution, and breakdown.
  • Ensure events run smoothly, handling any issues or changes that arise in real-time.
  • Provide excellent customer service to attendees, speakers, and sponsors.


Post-Event Evaluation:

  • Conduct post-event evaluations to assess the success of events and identify areas for improvement.
  • Gather feedback from attendees, stakeholders, and team members.
  • Prepare detailed reports on event outcomes and key performance indicators.


Support to the Director of Events and Partnerships:

  • Assist the Director of Events and Partnerships with strategic planning and partnership development.
  • Provide administrative support, including scheduling meetings, preparing reports, and handling correspondence.
  • Collaborate with the Director on special projects and initiatives as needed.

Skills and Experience


Essential Qualities and Experience:

  • 3-5 years of experience in event planning and management, preferably in a corporate setting.
  • Strong project management skills, with the ability to manage multiple events simultaneously.
  • Excellent organisational and time management skills.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency in event management software and tools.
  • Ability to work under pressure and handle challenging situations.
  • Creative thinking and problem-solving abilities.
  • Flexibility to work evenings and weekends as required by event schedules.


Desirable Qualifications:

  • Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
