We have an exciting opportunity for a People Shared Services Coordinator to join our People team. This role is a based in our Head Office in Central London (NW1 4LJ), with a hybrid working model. Job Profile

As People Shared Services Coordinator you would provide a proactive and professional People (HR) customer service to our customers - managers, employees, new starters and third parties - in person, via email or other written correspondence or over the phone/ video calls.

You will co-ordinate the on-boarding and compliance process for new starters, ensuring that all new starters (permanent, fixed term contracts and bank) are on-boarded in accordance with safe recruitment processes and polices and within set SLAs, as well as being the first point of contact from staff for all HR systems related queries (iTrent).

  • Job Type: This is a full-time, 12 month FTC working 37.5 hours per week, Monday to Friday with a hybrid working model of 2-3 days per week on-site.

Key Duties

  • To manage multiple mailboxes, ensuring emails are responded to in a professional and timely manner, and be an active member of the People Team phone line and office
  • Provide an efficient HR/People service to The London Clinic's managers, employees, new starters and external third parties.
  • To respond to iTrent Self-Service and People Manager user queries including clarifying annual leave entitlements, amending and creating working patterns, maintaining reporting lines and responding to queries regarding timesheets.
  • To work flexibly within the team, assisting with phone enquiries, general filing and typing of correspondence on a daily basis, maintain office supplies, and provide additional support to wider members of the People team as required.

Skills & Experience

  • Proven administrative and customer service experience of working in a fast-paced HR/People team environment.
  • Knowledge of right to work requirements including UK immigration compliance is highly advantageous.
  • Experience of MHR iTrent is desirable but not essential.
  • Excellent IT skills with strong knowledge of Microsoft packages.
